REQUIREMENTS:

  • Level 4 of NQF / Grade 12.
  • Relevant experience and any secretarial or office management qualifications will be added benefits.
  • Skills: Time management and organizational abilities.
  • Proficiency in written communication and documentation, minute taking, record keeping, interpersonal relations, phone etiquette, professional etiquette, time management, computer skills, and familiarity with Microsoft Office 365, including Word, Excel, Outlook, PowerPoint, and Microsoft Teams, among other things.
  • Furthermore, the capacity for maintaining secrecy.
  • familiarity with the laws that control the public sector, such as the Public Finance Management Act, Public Service Regulation, and Public Service Act.

 

 

DUTIES:

  • Give the Director administrative support.
  • Handle the director’s mail and schedule; inform the director of any changes or appointments as well as any issues that need to be addressed right away on a daily basis.
  • Set daily goals, make sure to do assignments on time, and update the task tracker every day.
  • Respond to phone calls and screen communications, such as grievances and questions from staff members, public servants, and members of the public that are directed to the director.
  • As the director’s secretary, you will schedule meetings in a timely manner, create meeting materials, write up and distribute minutes, and handle action items and meeting resolutions.
  • Update action and resolution lists and follow up on action items and resolutions.
  • Provide the Director’s Office with an end-to-end document management solution.
  • Follow the Departmental file plan that has been approved.
