KEY DUTIES AND RESPONSIBILITIES

Bookings Clerk

• To guarantee that every job is completed on schedule.

• To guarantee that the flat rate manual is followed in the costing of every job.

• Help Service Advisors when demand is high.

• Mostly accept service reservations when necessary

• Proper scheduling to guarantee that customers depart on time in the mornings;

• Effectively manage the diary to ensure that the right hours are scheduled each day (bucket system).

• Coordinate with the foreman and service advisors.

• To ensure that the booking sheet is nice and current.

• To provide accurate information and be amiable and helpful to every customer.

• To promptly and accurately get authorization from the fleet business and service plan

• Maintaining current information

• Promptly sending debtor invoices Operator of the Switchboard/Receptionist

Incoming calls must be returned promptly.

Customers must feel comfortable in the reception area.

The switchboard must be managed, including call transfers and message taking.

The machinery, lighting, and other equipment must be controlled to maintain reception displays while minimizing unnecessary waste.

Junior staff who occasionally work in the reception area must be managed.

The Dealer Principal and Accountants must receive their weekly and monthly reports on time.

Finally, general administrative tasks must be assisted.
