REQUIREMENTS:

  • An additional benefit will be one year of work experience in administration services, as well as Grade 12 or NQF Level 5.

  • Proficiency & Abilities: familiarity with a small number of job processes, including basic financial operations and clerical tasks.

  • Managing a particular line of supplies in a store, handling
  • HR matters (basic HR matters like what resources are available,
  • what training are available, adhering to labor relations practices/guidelines,

  • and administration procedures relating to a specific working environment,
  • including norms and standards,
  • data capturing, and reporting procedures).

DUTIES:

  • Keep track of, arrange, preserve, record, and access data and correspondence.
  • Update statistics and records. Respond to regular questions.
  • Create photocopies and send and receive emails.
  • Deliver products and documents to different stakeholders.
  • Preserve and maintain the component’s filling system.
  • When necessary, type letters and/or other correspondence.
  • Maintain the component’s registry of receiving and departing documents.
  • Communicate with stakeholders both inside and outside the company regarding the purchase of products and services.
  • To buy typical office supplies, get quotes and fill out procurement paperwork.
  • Office stationery inventory control. Keep the component’s leave register up to date.
  • Maintain and preserve personal documents within the component.
  • Keep the component’s attendance record up to date.
  • Make travel and lodging arrangements.
  • Record and update component spending.
  • Verify the accuracy of the travel and subsistence claims.
  • Establish internal controls. Help maintain asset registers.
  • Documentation of AARTO and face value (GP733, J534): Ask areas for AARTO books.
  • obtaining the officers’ pocket books. Notify e-natis about the issuance.
  • Get the tickets. Verify that the data recorded on each ticket is accurate.
  • Take note of the e-natis violation.
  • Create reports every month.
  • completing the paperwork.
  • Help with photocopying and faxing documents: The official will be in charge of creating the majority of the copies and sending the documents to the appropriate role players via fax.
  • Help the asset control managers with inventory updates.
  • Perform additional general administrative tasks as assigned by superiors.
