ROLE SUMMARY:
- welcoming guests to the school and guiding them to the appropriate person or location within the administration or school wings.
- maintaining the piazza and welcome area clean and orderly. answering phones, taking messages, relaying information, and sending staff emails.
- sending emails to the appropriate staff members from the reception email account.
- distributing mail to the appropriate staff members and departments and signing for any deliveries.
- obtaining and distributing newspapers and magazines.
- communicating with employees about orders, delivery, and pickups.
- welcoming parents, staff, and potential kids to the school.
- maintaining the Reception File’s emergency contact list and protocols current.
- supporting major public relations initiatives like Open/Information
KEY RESPONSIBILITIES:
The School Reception assists the School Management and teaching staff by:
- printing and sending papers via email in response to staff requests.
- typing of instructional materials and tests when necessary.
- printing programs and certificates for school events.
- helping the academic head with IEB-related tasks, such scheduling deliveries, etc.
- making travel plans for workshops and conferences for teaching personnel.
- Weekly inspection of the stationery cabinet and ordering when neededary.
The Receptionist works alongside the Administrator to ensure that:
- At the start of the term, class lists are created, updated, and collated.
- Contact information for students and parents has been updated, subject to use permissions.
The Receptionist is the liaison between the School and suppliers. This involves:
- Communicating with textbook suppliers and stationers
- Organizing and verifying catalog distribution and form gathering making plans for the distribution and storage of textbooks and stationery.
- Talking to parents to promote anything that is vital Dates and procedures for returning to school
INTERFACING WITH STUDENTS AND PARENTS:
The Receptionist plays a vital PR role by being the first contact for parents and students at the School.
The role requires that the Receptionist fulfils the following duties and responsibilities:
- making calls on behalf of students to parents.
- Overseeing the recovery and return of misplaced items.
- completing exeat paperwork for pupils who leave school early.
- overseeing the sick bay, caring for sick or injured kids, cleaning and maintaining the sick bay environment, monitoring students in the sick bay, and giving sick youngsters TLC.
- contacting the parents of pupils who are ill or injured.
- Because schools are dynamic, the head of the institution may assign additional duties and obligations to the school secretary or receptionist in order to help the school run more smoothly.
