Requirements

  • A National Senior Certificate is necessary.
  • A degree in office administration would be beneficial.
  • At least two years of front desk or customer service experience (preferably at a clinic)
  • Proficiency in Microsoft Office and Office 365 (Outlook, Word, Excel)
  • English and one other South African language proficiency

Duties & Responsibilities

  • In order to give customers a great experience, greet guests in a courteous and professional manner.
  • Ascertain the purpose of the visit and notify the appropriate person.
  • Observe the pertinent visitor security procedures, record their information, and, if necessary, provide security tags.
  • To deliver a first-rate customer experience, answer calls in a courteous and professional manner.
  • Calls received through the switchboard are screened and routed properly.
  • raising invoices and proposals through the appropriate mechanism.
  • helping to collect unpaid debts and do age analysis.
  • arranging appointments, following up, and answering questions about them.
  • Make sure that the files are organized and readily available to the appropriate parties.
  • As needed, gather, assemble, and distribute papers to pertinent parties within predetermined parameters and deadlines.
  • Bring up errors and other housekeeping concerns with the appropriate parties or service providers.
  • assembling and distributing all correspondence. many administrative tasks, such as computerized filling and data collection.
  • Establish and preserve connections with stakeholders both inside and outside the company.
  • In order to manage expectations, fulfill service level agreements that have been established with all parties involved.
