Qualifications

 

  • A diploma in office management,
  • administration, or a similar discipline
  • (NQF Level 5) Works Experience
  • A relevant job experience of one to two years demonstrated ability to carry out administrative tasks at the Divisional Head level demonstrated ability to write reports and arrange presentations
  • Understanding of fundamental procurement procedures, requisition ordering, and billing is required.

Duties and Responsibilities
Functional Management

  • Assist with pertinent office administration tasks, such as answering calls, emails, and letters.
  • Documents and information should be treated as private and secret, and they should only be shared with parties with permission from the divisional head.
  • As needed, offer Certification Services general administrative support.
  • Make certain that all correspondence and information pertaining to Certification Services are sent to the appropriate parties.
  • Organize the necessary administrative preparations for pertinent
  • Certification Services sessions, such as scheduling meeting spaces and making logistical arrangements.
  • Prior to distribution, proofread pertinent papers and prepare both routine and non-routine correspondence.
  • Compile and summarize information, among other particular tasks, as assigned by the Divisional Head.
  • aid in the Divisional Head’s preparation of pertinent materials.
  • Prepare the agreed-upon agendas, materials, and meeting packets.
  • Maintain the relevant filing and record management system for Certification Services and other office flow procedures to ensure easy retrieval of records.
  • Make certain that every document within the scope is properly filed, maintained, and updated.
  • Make sure that all pertinent information about Certification Services is supplied and sent to the appropriate parties.
  • Ensure that the documentation is given to meeting delegates and effectively and efficiently coordinate the logistical arrangements for pertinent Certification Services meetings and sessions.
  • Professionally greet and guide visitors to pertinent meetings and sessions.
  • When needed, gather and get ready all printed documents for meetings and sessions.
  • Maintain proper amounts of common materials and resources used by Certification Services by conducting weekly stock controls.
  • As needed, notify the Divisional Head to restock.
  • All papers should be properly filed, updated, and managed in accordance with standard operating procedures.
