Job Purpose

We are looking for a Brach Administrator reporting directly to the Branch Manager. This is a local role, based in Witbank.

Responsibilities:

Administration

         Overtime:

  • Obtain each employee’s attendance records.
  • Determine the number of hours spent in overtime.
  • By the sixteenth, submit overtime to head office.

        Switchboard duties

  • Answer every call
  • Help staff members make phone calls
  • Keep track of messages
  • Verify that messages were received.
  • Perform routine office tasks.

Debtors/Creditors

  • Verify the supply and invoice accuracy.
  • Verify credit extensions and additions.
  • Keep bills on file in the audit summary.
  • Obtain and handle stock-inns
  • prompt transmission or publication of statements
  • maintains the customer hanging file updating
  • Make sure the collections arrive on schedule.
  • Debtors’ daily audit trail must be submitted.
  • Maintenance of POD file
  • Credit note processing and cross-referencing
  • Aim to file invoices in the order that they are due.
  • Statements from reconciling creditors

General administration duties

  • Typing, faxing, and photocopying

Stock

  • Supervise daily stock count
  • Rectify stock variances
  • File daily stock sheets

Banking

  • Cash sale Audit checked and bank according
  • Reason for under/over banking
  • File copy of Audit trail with deposit slip

Registers & Files

Upkeep of following

  • POD register
  • Daily stock take file
  • Customer files
  • Debtors audit trial
  • Cash sale Audit trial

Health and Safety

  • Adheres to Health & Safety standards in the workplace and does not endanger other parties.
  • Complies with the Occupational Health and Safety Act
  • Ensure Personal Safety Equipment and facilities provided by the company are in good and clean condition.

General

  • Undertake all reasonable requests and instructions, given verbally or in writing that fall within the parameters of own line of duty.
  • Willing to the extra mile

Requirements:

  • Matric/Grade 12
  • Basic accounting knowledge
  • Computer literacy – MS Word, Excel and Outlook
  • At least 3 years experience in a similar post.
