**Join Our Team as a Complaints Administrator**
We are seeking a detail-oriented Complaints Administrator to manage client complaints efficiently, ensuring compliance with regulatory standards and delivering exceptional client service.
**Duties & Responsibilities**
– Receive, assess, and register new client complaints in the Complaints Management System (CMS)
– Identify the complainant and their relationship to the policy, funeral, or tombstone invoice
– Print relevant documentation (e.g., application forms, invoices) from Image Viewer to support complaint evaluation
– Request and attach XDS reports for fraud-related complaints
– Log complaints in the CMS and process policy or payment method cancellations per client instructions
– Confirm receipt of complaint letters and execute cancellations as needed
– Update CMS with summary notes on complaints, actions taken, and correspondence sent
– Create case files with complaint numbers and complainant details
– File all correspondence and complaint information in CMS
– Allocate files to senior clerks and department heads
– Assist senior personnel with tasks, queries, and ad hoc administrative duties
– Handle internal and external client inquiries, referring complex matters to senior clerks as needed
**Requirements**
– Grade 12 (Matric)
– Knowledge of TCF/FSCA and other legislative requirements
– 2-3 years of experience in insurance and administration
– Excellent written and verbal communication skills
– Computer literacy (Excel, Word, Email)
– Client-service oriented with strong teamwork and initiative
– Ability to work under pressure while maintaining effectiveness
– Strong planning, time management, and attention to detail
– Ability to evaluate cases based on merit
– Self-motivated
