About Us

We are currently seeking a dedicated Administrator to join our team in Cape Town. This role is key to overseeing and managing documentation processes within the unit, ensuring all business-related documents are accurately maintained and securely filed. The Administrator will also manage timekeeping to ensure accurate month-end reporting and maintain adequate stock levels to support seamless service delivery. Additionally, the successful candidate will assist the Contract Manager with various administrative and operational responsibilities.

Key Responsibilities

Operations & Administration

  • Respond promptly and proactively to client requests
  • Manage consumable stock orders and maintain adequate on-site stock levels
  • Support the onboarding process for new employees, including induction and uniform management
  • Schedule and monitor completion of online training sessions
  • Maintain accurate and up-to-date unit files and notice boards in line with TCS policies
  • Distribute payslips to employees
  • Update monthly consumables file and submit to Unit Manager for billing and processing

Communication

  • Coordinate and document all official meetings
  • Distribute official company communication to staff
  • Keep Line Managers regularly informed on key contract-related issues

Labour & Payroll Support

  • Assist with payroll administration for the unit
  • Verify Cost to Company (CTC) reports to prevent payroll discrepancies
  • Submit termination documents to the CABS Administrator
  • Ensure departing employees receive UI19 forms and exit documentation

General Duties

  • Foster high morale and motivation through effective communication
  • Attend meetings, training, and conferences as required
  • Contribute to achieving the company’s operational goals
  • Carry out any additional duties as needed, beyond the core scope

Skills & Competencies

  • Proficient in Microsoft Excel (Advanced level preferred)
  • Strong financial and data capturing accuracy
  • Effective stock and timekeeping management
  • Leadership qualities and problem-solving skills
  • High attention to detail and ability to work under pressure
  • Flexible, adaptable, and capable of working independently

Qualifications

  • Matric (Grade 12)
  • Proven administrative experience
  • Computer literate
  • Valid driver’s license (advantageous)
