Tsebo Facilities Solutions is seeking a proactive and highly organized Office Administrator to provide dedicated administrative support to the Operations Director. The successful candidate will play a key role in coordinating the Director’s schedule, organizing operational meetings, compiling reports, and facilitating communication across the team.

Key Responsibilities

Daily Administration

  • Manage the diary and schedule of the Operations Director
  • Assist in planning and coordinating site visits
  • Arrange travel and accommodation as required
  • Compile and consolidate monthly operations reports for EXCO meetings
  • Organize and facilitate monthly operations meetings
  • Distribute internal communications to relevant team members
  • Provide ad-hoc administrative support to the Operations Director
  • Gather, prepare, and circulate documents for Director sign-off, approvals, or feedback
  • Maintain up-to-date records of contract documentation and coordinate with Legal
  • Ensure client contact details and records are current and accurate
  • Facilitate onboarding for new Facilities Managers/Site Leads, including arranging laptops, email accounts, and other necessary tools

Qualifications

  • Matric / Grade 12 (compulsory)
  • Strong computer literacy (MS Office Suite)
  • A certificate or diploma in Office Administration or Secretarial Studies is an advantage
  • Excellent interpersonal and communication skills
  • Strong organizational and planning capabilities
