Minimum Requirements

To succeed in this role, you must meet the following essential criteria:

  1. Educational Qualification:
    • Matric / Grade 12.
    • Tertiary qualification or certification in Human Resources, Labour Law, or a related field will be advantageous.
  2. Experience:
    • Minimum of 2–3 years’ administrative experience in an Industrial Relations (IR), Human Resources (HR), or legal environment.
    • Proven track record in handling sensitive documentation and confidential information.
  3. Skills and Competencies:
    • Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
    • Strong organisational skills with the ability to prioritise and multi-task effectively.
    • Excellent verbal and written communication skills.
    • Ability to work under pressure and meet strict deadlines.
    • Strong attention to detail and accuracy in data management.
    • Solid understanding of labour-related legislation, including BCEA, LRA, and CCMA processes (advantageous).
  4. Personal Attributes:
    • Professional, diplomatic, and approachable.
    • Discreet and trustworthy, with a commitment to confidentiality.
    • Able to build and maintain good working relationships with internal and external stakeholders.

Duties and Responsibilities

As an IR Administrator, you will be responsible for providing comprehensive administrative support to the Industrial Relations Department. Your main responsibilities will include:

1. CCMA Case Management

  • Receive, log, and file all CCMA correspondence in a timely and organised manner.
  • Ensure accurate record-keeping of all incoming and outgoing case-related documentation.
  • Schedule conciliations, arbitrations, and other CCMA proceedings, ensuring that all deadlines are met.
  • Liaise with CCMA officials to confirm dates, times, and procedural requirements.

2. Documentation and Filing

  • Prepare case files and bundles for hearings, conciliations, and arbitrations.
  • Maintain the Enquiry Pack Log and update it regularly to ensure all records are complete and up to date.
  • Maintain accurate and accessible filing systems (electronic and physical) for IR-related documents.

3. IR Statistics and Reporting

  • Update and maintain IR statistics for internal reporting purposes.
  • Generate regular and ad-hoc reports on case volumes, outcomes, and trends.
  • Provide statistical input for management meetings and departmental reviews.

4. Stakeholder Liaison

  • Act as the first point of contact for all IR-related administrative queries.
  • Liaise professionally with unions, attorneys, CCMA officials, and internal managers.
  • Coordinate with internal stakeholders to ensure the timely submission of required documentation and information.

5. Departmental Support

  • Assist in managing departmental stationery, office supplies, and related resources.
  • Provide logistical support for IR-related training sessions, meetings, or workshops.
  • Assist the IR team with general administrative tasks, including minute-taking during meetings if required.
  • Ensure compliance with company policies, legal requirements, and procedural guidelines at all times.
