1. Job Purpose

The purpose of this position is to provide efficient, accurate, and professional administrative support services to the assigned section within the Tshwane Metro Police Department. The successful candidate will ensure the timely capturing of operational data, support workflow coordination, assist with documentation management, maintain records, liaise with stakeholders, and uphold administrative standards that contribute to the smooth functioning of the section.

This role requires strong attention to detail, professionalism, confidentiality, and the ability to work effectively under pressure while meeting strict administrative deadlines.


2. Minimum Application Requirements

  • Grade 12 / Matric (Essential).
  • Minimum six (6) months relevant administrative experience in an office or support environment.
  • Must be willing to undergo a criminal record check.
  • Must be prepared to submit fingerprints for verification by the Tshwane Metro Police Department at own cost.
  • Computer literacy (Microsoft Office Suite) required.
  • SAP experience will be an added advantage.

3. Key Functional Responsibilities

3.1 Data Capturing and Records Management

  • Capture information such as complaints, work orders, job cards and time sheets accurately on the computer system.
  • Verify captured records to ensure correctness and completeness before final submission.
  • Maintain and update electronic and manual filing systems to ensure information is organised, secured, and easily retrievable.
  • Ensure confidentiality and compliance with municipal data protection policies.

3.2 SAP System Transactions

  • Create reservations and requisitions within the SAP system for procurement and resource allocation.
  • Assist with contractor payment processes, including capturing and tracking documentation through SAP workflows.

3.3 Administrative Support

  • Perform general office administrative duties such as:
    • Filing and document control.
    • Leave and attendance administration.
    • Stationery requisitioning and inventory monitoring.
    • Internal document routing and correspondence preparation.
  • Liaise and maintain regular communication with operational teams, foremen, supervisors, and field staff to support effective workflow.

3.4 Stakeholder and Customer Service

  • Address and resolve general customer queries in a professional and service-oriented manner.
  • Escalate complex matters appropriately to management for efficient resolution.
  • Support internal communication and relay operational updates where required.

4. Required Knowledge, Skills and Competencies

4.1 Knowledge

  • General office administration practices.
  • Data entry and document verification procedures.
  • Basic procurement or logistical workflows (preferred).
  • SAP ERP system operation (advantageous but not mandatory).

4.2 Skills

  • Strong written and verbal communication skills.
  • Good interpersonal relations with colleagues and the public.
  • Ability to work as part of a team and also perform tasks independently.
  • Strong organisational and coordination abilities.
  • Ability to maintain accuracy while handling multiple tasks or interruptions.
