We are seeking a qualified, responsible, and safety-conscious Driver/Messenger to join our Governance Division in Menlo Park. This role requires professionalism, reliability, and a strong sense of accountability in handling official transport and messenger duties.
Purpose of the Position
The primary responsibility of the Driver/Messenger is to safely transport people, documents, and goods within assigned areas while maintaining strict adherence to national road safety regulations and RAF procedures. The incumbent will ensure that deliveries, collections, and administrative support functions are performed efficiently, securely, and within required timeframes. The position also includes maintaining accurate records, ensuring vehicle safety and upkeep, and supporting general office administration processes related to correspondence, logistics, and records management.
Key Performance Areas (KPAs)
1. Messenger and Delivery Services
- Collect correspondence, packages, and official documents from various government institutions and departments.
- Verify all items against collection lists and acknowledge receipt upon collection.
- Deliver packages, mail, or messages safely and on schedule, ensuring accuracy and timely distribution.
- Handle packages and documents with care and maintain confidentiality at all times.
- Obtain signatures, receipts, and proof of delivery for all transactions.
- Maintain communication between the point of departure and destination to confirm delivery details.
- Record daily delivery activities in the official logbook and reconcile items upon completion of delivery routes.
- Plan efficient routes in advance to optimize travel time and reduce costs.
- Coordinate with the Document Services team to ensure proper document distribution and filing according to standard operating procedures (SOPs).
2. Administrative and Records Management Support
- Monitor availability and scheduling of messenger services to support all organizational departments, including deliveries to government offices, financial institutions, and clients.
- Assist with archiving and filing of scanned files and physical documents in compliance with the National Archives Act and RAF’s Records Management (RM) policies.
- Sort, classify, and label documents based on the established file plan and retention schedules.
- Prepare and capture transfer requests for off-site storage and maintain an updated log of records dispatched.
- Maintain a detailed index of departmental records, including retention periods, file numbers, and document types.
- Track and reconcile updates to the record inventory spreadsheet for all off-site and internal files.
- Ensure the postal services and document binding facilities within the branch are operating efficiently at all times.
- Oversee the completion of document binding, copying, and scanning tasks to support operational requirements.
3. Transportation and Operational Duties
- Safely transport personnel, goods, and materials as per daily work schedules and instructions.
- Load and unload organizational merchandise or equipment carefully to avoid damage.
- Recognize vehicle, electrical, or mechanical faults and report them immediately to the Facilities Manager.
- Follow all national and institutional traffic laws and occupational safety regulations.
- Maintain professionalism and integrity while representing RAF on official transport duties.
4. Vehicle, Machinery, and Equipment Maintenance
- Conduct daily pre-trip and post-trip inspections to ensure vehicle safety and roadworthiness.
- Report any vehicle defects, traffic violations, accidents, or damages promptly to the supervisor.
- Ensure that copying, binding, and franking machines are properly maintained and operational.
- Maintain accurate logbooks and trip reports in line with RAF’s Fleet Management Policy.
- Monitor and report on the technical condition and maintenance needs of all assigned vehicles and office machinery.
5. Reporting and Mail Processing
- Record and report on all transport activities, delivery outcomes, and maintenance issues.
- Report any unexpected delays or incidents encountered during delivery or travel.
- Receive, stamp, and register all incoming and outgoing mail, ensuring proper sorting and distribution.
- Manage registered and normal mail processes including Docex Tracker systems and postal coordination.
- Prepare and verify outgoing correspondence for bulk or registered mailing.
- Capture and declare all received payments and maintain a clear record of postal transactions.
- Ensure filing and document storage procedures comply with organizational standards and quality assurance protocols.
Qualification and Experience Requirements
Essential Qualifications:
- Matric / Grade 12 Certificate.
- Valid Code 10 (EC1/EC) Driver’s License.
- Valid Professional Driver’s Permit (PrDP).
Desirable Experience:
- Minimum of 1 year experience in a driving or messenger service environment.
