We are seeking a skilled and dedicated Administrative Assistant to support the Area Temple Facilities Manager and the Special Project Department. This role ensures temple patrons experience a positive and uplifting environment by maintaining temples to the standards set by the First Presidency.
**Job Description**
The Administrative Assistant will provide comprehensive administrative support, handling moderately complex and non-routine tasks with sound judgment, accuracy, and timeliness. This role involves managing confidential information, coordinating with internal and external stakeholders, and contributing to the smooth operation of the department.
**Responsibilities**
– Prepare documents, reports, charts, and graphs
– Maintain and update calendars, schedule and coordinate meetings
– Arrange travel logistics
– Create and maintain filing systems
– Review and distribute mail, collect data, and compile information
– Answer phone calls and respond to routine inquiries
– Provide administrative and support services for the department and Area Temple Facilities Manager
– Assist in resolving complex issues and problems with accuracy and timeliness
– Support budget preparation and control activities
– Administer programs, projects, or processes specific to the department
– Act as an administrative liaison for purchasing, personnel, facilities, and operations
– Conduct research, analyze information, and prepare recommendations
– Resolve conventional problems or situations per established criteria and protocols
– Assist in orienting and training lower-level employees
– Handle confidential information with discretion
**Qualifications**
– Must be worthy to hold a current Temple Recommend
– High School qualification plus two years of post-high school education or training
– Six years of relevant administrative experience
– Advanced office skills, including:
– Excellent communication skills (written and verbal)
– Proficiency in computerized business applications (spreadsheets, tables, forms, charts)
– Strong research, analytical, and data summation skills
– Ability to author correspondence with minimal supervision
– Sound judgment, accuracy, and timeliness in task execution
– Passing scores on assessment tests: Microsoft Word (Experienced Users), Excel (Basic), and PowerPoint (Essentials)
