About the Role

The Department of Transport in KwaZulu-Natal is inviting applications from dynamic, motivated, and detail-oriented individuals to join the team as Administration Clerks across various districts.

Administration Clerks form the backbone of government operations, ensuring effective record-keeping, compliance with public service prescripts, and smooth flow of administrative processes. Key Responsibilities

As an Administration Clerk, you will perform a variety of administrative duties to support the department in line with applicable legislation and government procedures. Your responsibilities will include:

Procurement Support

  • Obtain written quotations from suppliers in accordance with supply chain policies.
  • Complete requisition forms and secure appropriate approvals for expenditure.
  • Ensure expenditure is committed and recorded correctly.

Budget Management

  • Submit necessary documentation to the budget system for approval.
  • Verify availability of funds prior to expenditure commitments.
  • Assist in maintaining accurate expenditure records for audit and compliance purposes.

Record Keeping & Documentation

  • Maintain accurate and up-to-date records in the VA Register, including requisition details, supplier data, and purchase order numbers.
  • Submit documentation to stores for order generation and ensure copies are retained for reference.
  • Uphold document integrity and compliance with government record-keeping standards.

Communication & Stakeholder Engagement

  • Facilitate communication between internal departments, suppliers, and external stakeholders.
  • Fax, email, or distribute necessary documentation while ensuring accuracy and confidentiality.
  • Act as a point of contact for inquiries related to procurement, orders, and budget administration.

Requirements

Minimum Educational Qualification

  • National Senior Certificate (Grade 12) / NQF Level 4 (Compulsory).

Skills and Competencies

  • Computer literacy: Proficiency in MS Office Suite (Word, Excel, Outlook).
  • Administrative knowledge: Basic understanding of office processes, procurement, and record-keeping.
  • Communication skills: Strong verbal and written communication, including basic report writing abilities.
  • Problem-solving skills: Ability to identify issues and apply solutions within the framework of government prescripts.
  • Regulatory knowledge: Understanding of the Constitution, Labour Relations Act, Promotion of Access to Information Act, and Public Service Act.

Preferred Experience

  • Completion of 1-year Public Service Internship Programme is advantageous but not compulsory.
  • Prior exposure to public administration, procurement, or financial record-keeping will be considered an added advantage.

Remuneration Package

  • Salary: R228 321 per annum (Level 05).
