About the Road Accident Fund (RAF)

The Road Accident Fund (RAF) is dedicated to ensuring the safety and wellbeing of road users within South Africa. Our mission is to provide appropriate cover to all individuals injured as a result of motor vehicle accidents, while promoting rehabilitation, fair compensation, and road safety.

We aim to deliver on this mission with compassion, integrity, and efficiency, ensuring that claimants receive quality service while we actively contribute to the safe use of South African roads.

As part of our ongoing commitment to service excellence, RAF is seeking to appoint Administrative Assistants (Undertakings) to support the Medical Management Department in East London. These roles are fixed-term contracts for a duration of 36 months.


Purpose of the Role

The Administrative Assistant (Undertakings) provides vital day-to-day administrative support to the Medical Management Department. The incumbent will ensure smooth departmental operations through accurate document management, effective office coordination, and timely communication with internal and external stakeholders.


Key Performance Areas

1. Compliance Administration

  • Maintain accurate written documentation of departmental business activities.
  • Ensure compliance with internal policies, standards, and processes.
  • Stay informed about internal controls, business goals, and compliance requirements.

2. Office Coordination

  • Provide general administrative support including correspondence, filing, telephonic queries, and office logistics.
  • Maintain strict confidentiality in all administrative matters.
  • Assist with follow-ups on outstanding issues and ensure timely resolution.
  • Engage with Processing Centres to follow up on outstanding matters.
  • Ensure adequate availability of stationery and office supplies.

3. Information Validation & Document Control

  • Validate and verify information and documentation before capturing into systems.
  • Eliminate duplicate requests or documents and escalate discrepancies as required.
  • Allocate reference numbers and accurately capture related documents across RAF systems.
  • Allocate matters to responsible team members and track their progress.
  • Draft and send stakeholder correspondence as required.

4. Meeting Support

  • Arrange departmental meetings, manage team diaries, and schedule stakeholder appointments.
  • Take and distribute accurate minutes of meetings in line with governance standards.
  • Maintain a register of outstanding resolutions and assist in follow-ups.
  • Confirm meeting logistics with internal and external stakeholders.

5. Records & Document Management

  • Administer records and filing systems in accordance with the RAF Filing Plan.
  • Ensure the filing system is functional, up-to-date, and easily accessible.
  • Retrieve information efficiently upon request.
  • Apply file number allocations, acknowledge receipt of documents, capture data on the system, and file appropriately.
  • Safeguard confidentiality and ensure documentation reaches intended recipients.

Minimum Qualifications

  • Matric / Grade 12 Certificate (Compulsory).

Experience Requirements

  • Minimum 1 year of relevant administrative experience in a similar environment.

Technical Competencies

  • Proficiency in MS Word, Excel, and PowerPoint.
  • Strong planning, organising, and administrative skills.
  • Good written communication skills and report writing ability.
  • Ability to validate, verify, and manage information accurately.
  • Basic understanding of Supply Chain Management (SCM) processes.
  • Basic financial awareness and ability to support budget-related processes.

Remuneration & Benefits

  • Salary: R244,732.00 per annum (T.A.S.K Grade 06).
  • RAF offers Total Employment Cost (TEC) packages, which allow successful candidates to structure their package according to individual needs.
