Job Purpose

The Certification Administrator is responsible for the accurate processing, control, and maintenance of all technical staff certification and identification records within SAA Technical. The incumbent ensures full compliance with company procedures, regulatory requirements, and quality standards as outlined in the SAA Technical Quality Manual.

This role supports operational safety and technical excellence by ensuring that all engineers and technical personnel hold valid certifications and identification stamps before performing maintenance activities. The position also maintains up-to-date records on MEMIS and TSAS systems and provides essential data for internal audits, external inspections, and management reporting.


Key Responsibilities

1. Certification Administration

  • Process all new, renewal, and amendment applications for technical staff certifications in accordance with approved company and aviation regulatory procedures.
  • Verify compliance of certification applications with SAA Technical Quality Manual standards and ensure timely approval and issuance.
  • Maintain a comprehensive database of all certification records and associated documentation in MEMIS and TSAS systems.
  • Track and update certification expiries, renewals, and revalidations to prevent lapses and ensure continuous compliance.

2. Identification Stamp Management

  • Procure, issue, and control all SAA Technical identification stamps to authorised staff.
  • Record, monitor, and reconcile stamp usage and ensure safe storage and withdrawal when required (e.g., resignations, transfers, or suspensions).
  • Manage the full life cycle of identification stamps including numbering, engraving, distribution, and retrieval.
  • Maintain a register of all active and inactive identification stamps for auditing purposes.

3. Data Integrity and Record Maintenance

  • Maintain accurate and current staff certification and identification data banks in MEMIS and TSAS.
  • Regularly update databases to reflect new certifications, renewals, and withdrawals.
  • Generate accurate and timely certification and training data for internal quality audits, CAA inspections, and management queries.
  • Ensure the secure storage and confidentiality of all certification records, files, and supporting documentation.

4. Financial and Administrative Support

  • Initiate and process certification allowance payments in accordance with approved payroll procedures.
  • Facilitate payments for procured identification stamps and track associated costs.
  • Support procurement and finance teams with certification-related documentation and payment follow-ups.

5. Advisory and Support Role

  • Act as a point of contact for internal departments regarding staff certification and qualification verification.
  • Provide expert guidance to line managers and training departments on certification requirements and staff eligibility.
  • Liaise with regulatory authorities or internal auditors regarding compliance matters related to technical certification.

Qualifications and Experience

Minimum Educational Qualification:

  • Grade 12 / Matric certificate (NQF Level 4) or equivalent qualification.

Minimum Work Experience:

  • At least 2 years of administrative experience in a technical or engineering environment.
  • Previous exposure to aviation or maintenance certification processes will be a distinct advantage.

Knowledge and Skills Requirements

Technical Knowledge:

  • Sound knowledge of database management systems and administrative procedures.
  • Working understanding of MEMIS and TSAS systems (or similar aviation maintenance management software).
  • Comprehensive knowledge of the SAA Technical Quality Manual, particularly in relation to certification and compliance requirements.
  • Familiarity with Civil Aviation Authority (CAA) and Part 145 compliance standards will be advantageous.

Technical and Soft Skills:

  • Advanced computer literacy (MS Office Suite – Word, Excel, Outlook, and database tools).
  • Excellent administrative accuracy and record-keeping ability.
  • Strong communication skills (written and verbal) and report-writing proficiency.
  • Time management and the ability to prioritise effectively under pressure.
  • Analytical thinking with attention to detail in maintaining data accuracy.
