Job Purpose

The Administrative Supervisor will oversee and coordinate the daily operations of the administration team at T3TSA, ensuring efficient workflow, compliance, and continuous improvement of administrative processes. The incumbent will manage staff performance, provide coaching and training, and ensure all operational procedures meet business and legal requirements.


Key Responsibilities

1. Team Management

  • Supervise the daily activities of the administrative department and its staff.
  • Provide guidance, training, and upskilling opportunities to enhance team capability.
  • Oversee workload distribution and ensure timely completion of deliverables.
  • Conduct regular performance reviews and implement improvement plans.

2. Business Processes

  • Develop, review, and optimize administrative compliance policies and procedures.
  • Ensure all administrative systems remain legally compliant and operationally effective.
  • Identify areas for process improvement and implement best practices.

3. Core Administrative Functions

  • Oversee the following key processes:
    • RICA verification and compliance
    • Customer account creation and sales order management
    • Invoicing and reconciliations (Customer and Supplier)
    • Warehouse and product creation within sales systems
    • Stock balancing (Daily and Weekly)
    • Mobile invoicing (REP)
    • Procurement and purchase order management
    • Customer support and account maintenance

4. Procurement and Vendor Management

  • Manage supplier relationships and ensure timely procurement of goods and services.
  • Conduct stock forecasting, imports, and inventory management.
  • Ensure effective communication and coordination between procurement and warehouse teams.

5. Reporting and Data Integrity

  • Prepare and analyze daily, weekly, and monthly reports.
  • Monitor key metrics and data trends to identify improvement areas.
  • Maintain data integrity using control reports and validation tools.
  • Utilize JIRA and other reporting tools to drive coaching and team performance.

6. Client & Customer Relationship Management

  • Manage customer and sales-related escalations promptly and professionally.
  • Collaborate with internal teams and external partners to maintain smooth operations.
  • Promote a culture of excellent customer service and continuous improvement.

Qualifications and Experience

Education:

  • Diploma or Degree in Business Administration, Finance, or Commerce (BA/BCom)required.
  • Secondary or Intermediate Education (5 GCSE or equivalent) — advantageous.

Experience:

  • Minimum 2 years of experience in an administrative or financial supervisory role.
  • Proven ability to manage teams and coordinate multi-functional administrative processes.

Skills and Competencies

  • High level of numerical accuracy and attention to detail.
  • Effective communication and collaboration across departments.
