Role Purpose

The Administration Clerk plays a critical role in supporting the operational effectiveness of the Department of Defence by maintaining accurate administrative systems and managing provisioning activities. This position ensures the smooth flow of logistics and supply operations, contributing to the department’s overall readiness, efficiency, and compliance. The successful candidate will work within a structured environment, handling documentation, stock and inventory controls, and administrative communication functions to support their assigned unit.

Key Responsibilities

1. Provisioning and Supply Administration

  • Determine unit supply requirements and document needs according to established guidelines.
  • Assist in processing, issuing, receiving, and controlling stock items, equipment, materials, facilities, and related services.
  • Ensure all transactions are recorded accurately using approved systems such as CALMIS MMS or other departmental logistics platforms.
  • Maintain accurate documentation for all incoming and outgoing stock including vouchers, requisitions, and delivery notes.
  • Support the tracking, preservation, and reconciling of inventory to ensure operational readiness.

2. Stock Control and Warehouse Support

  • Assist with receiving goods and verifying quantities against requisitions and supplier documentation.
  • Ensure correct packaging, labeling, repacking and safe storage of items to prevent damage and preserve usability.
  • Conduct routine checks on stock conditions and report losses, shortages, damages, or expired items.
  • Participate in annual and periodic stock counts, audits and reconciliation of inventory variances.

3. Documentation, Filing and Record Keeping

  • Maintain well-organized hard copy and electronic filing systems in accordance with departmental standards.
  • Prepare and print official vouchers, forms, reports, and administrative correspondence as required.
  • Ensure precise capturing of data and maintain accurate record logs.
  • Handle routine administrative enquiries and provide information to internal units professionally and promptly.

4. Operational and Administrative Support

  • Provide clerical assistance to supervisors, logistical planners, unit staff, and departmental stakeholders.
  • Support procurement processes by registering supply demands, preparing documents, and monitoring the movement of inventory.
  • Uphold confidentiality and compliance with government policies, including handling of sensitive operational documents.
  • Assist with unit-specific administrative duties such as scheduling, record tracking, and documentation management.

Minimum Requirements

  • Grade 12 / Senior Certificate (NQF Level 4) or equivalent qualification.
  • No previous work experience required; training will be provided.

Added Advantage (Optional):

  • Training or knowledge in procurement, stock control, codification, warehousing, and asset management will be beneficial.
