1. Introduction
The Data Capture (Level 4) position plays a critical role in supporting the effective management, accuracy, and integrity of clinical and administrative data within the HAST Directorate. This role ensures that health information is captured, processed, verified, secured, and reported in line with departmental standards and national data policies. The successful candidate will contribute directly to the efficiency of patient information systems, compliance with statutory requirements, and the enhancement of service delivery within the hospital.
2. Minimum Requirements
- Educational Qualification:
- Grade 12 / Standard 10 / NQF Level 4 / N3 equivalent.
- Computer Literacy:
- Proficiency in MS Word and MS Excel is essential.
- Technical Skills:
- Ability to interpret data accurately.
- Good numerical and analytical abilities.
- DHIS/Tier certification will be an added advantage.
- Knowledge Requirements:
- PFMA and Treasury Regulations.
- Public Service Acts and Records Management legislation.
- PAIA, National Core Standards, and health sector reporting requirements.

4. Key Duties and Responsibilities
4.1 Data Collection and Verification
- Receive daily data submissions from various wards and service points across the hospital.
- Collect signed HTS registers from HTS counsellors, ensuring all sections are completed correctly and consistently.
- Perform thorough checks for completeness, correctness, and accuracy of information before capturing.
- Compare information with consent forms and other supporting documents to validate correctness.
4.2 Data Capturing and System Management
- Capture patient files meticulously on Tier.net on a daily basis.
- Record and update PCR (Polymerase Chain Reaction) data on Tier in accordance with established protocols.
- Capture and update information on the WebDHIS platform, ensuring alignment with reporting timelines.
- Capture complaints, Patient Experience of Care (PEC) data, and PSI information accurately and timeously.
- Enter hospital service data into SAP HIS and other authorised information systems.
- Transfer data across systems when required and ensure that records are accurately reconciled.
4.3 Quality Assurance and Compliance
- Liaise with ward clerks, operational managers, and departmental heads to clarify any discrepancies or missing data.
- Report data errors promptly to the relevant Operational Manager for corrective action.
- Ensure high levels of data integrity, confidentiality, and compliance with information management legislation.
- Assist in maintaining proper filing systems and secure storage of documents in accordance with Records Management Acts.
- Ensure that all data captured meets the standards of National Core Standards, PFMA compliance, and internal hospital protocols.
4.4 Support, Reporting and Administration
- Collect and reconcile data collection tools from wards, including OPD tick registers, headcount registers, delivery registers, and theatre registers.
- Support the preparation of monthly, quarterly, and annual reports by ensuring accurate data availability.
- Assist supervisors in generating performance statistics and feedback reports.
- Provide administrative support to the supervisor and contribute to audit readiness processes.
- Participate in data-related meetings, training sessions, and continuous improvement initiatives.
5. Performance and Accountability
- Comply with the Performance Management and Development System (PMDS), including contracting, mid-term reviews, and final assessments.
- Ensure that own performance meets the required productivity and quality standards.
- Maintain professionalism, punctuality, and accountability at all times.
