Introduction

As the first point of contact for students, visitors, suppliers, and staff, the Receptionist plays a critical role in representing the college’s culture of professionalism, warmth, and service excellence. This position requires an individual who is both personable and detail-orientated, able to manage multiple tasks efficiently while maintaining a welcoming and polished front-office environment.
Purpose of the Role
The Receptionist serves as the face and voice of the organisation, ensuring that every visitor to the campus experiences the highest standard of customer service. The role supports the smooth functioning of the campus by handling telephone communication, visitor management, administrative support, and coordination of front-office systems. This position is central to promoting a positive image of the institution, supporting efficient campus operations, and creating a professional, safe, and organised reception environment.
Key Responsibilities
1. Front-of-House Customer Service
- Greet visitors, staff, students, clients, and prospective learners warmly and professionally upon arrival.
- Provide accurate, friendly assistance and direct individuals to the relevant departments, offices, or staff members.
- Maintain a welcoming atmosphere that aligns with Boston City Campus values and brand identity.
- Provide information on campus directions, procedures, and general queries.
- Assist with queries regarding course offerings, application procedures, and campus operations when appropriate.
2. Telephone and Communication Management
- Answer incoming telephone calls promptly and courteously.
- Assess callers’ needs and route calls to the correct departments or personnel.
- Take clear, accurate messages when staff are unavailable and ensure timely follow-up.
- Maintain professional telephone etiquette in accordance with institutional standards.
3. Administration and Office Support
- Perform general administrative duties including filing, photocopying, scanning, data capturing, records management, and maintaining accurate logs.
- Assist with updating registers, visitor books, office documentation, and student-support forms.
- Assist academic or administrative departments with basic tasks as required.
- Support campus communication by helping disseminate notices, emails, and administrative memos.
4. Mail, Courier, and Delivery Coordination
- Receive, record, and distribute all incoming mail, parcels, and courier deliveries.
- Prepare outgoing mail and ensure timely dispatch.
- Maintain accurate records of items received and dispatched, ensuring accountability and traceability.
5. Meeting Room and Facility Coordination
- Manage booking schedules for campus meeting rooms.
- Ensure meeting spaces are clean, presentable, and adequately prepared for sessions or visitors.
- Communicate with relevant staff to ensure meeting requirements are met (seating arrangements, equipment needs, refreshments where applicable).
6. Front Desk and Office Presentation
- Maintain an orderly, professional, and aesthetically pleasing reception area at all times.
- Ensure the front desk is well-organised and free of clutter.
- Monitor stock of front-office supplies such as stationery, forms, and visitor badges.
- Uphold safety, confidentiality, and professional standards within the reception space.
Minimum Requirements
Qualifications
- Matric / Grade 12 (Compulsory)
- A three-year Diploma (NQF Level 6) in Office Administration, Customer Service, Business Administration, or a related field is highly advantageous.
Experience
- Previous experience in a receptionist, administrative support, or front-office role preferred.
- Customer service experience in a high-volume, fast-paced environment will be an advantage.
Computer Literacy
- Proficient in Microsoft Office (Word, Excel, Outlook).
- Comfortable navigating digital tools, email systems, and basic office technology such as printers and switchboards.
