Key Duties and Responsibilities

As an Admin Clerk in the Patient Administration Directorate, your responsibilities will include a variety of critical administrative tasks that support hospital operations. Duties include, but are not limited to:

1. Patient Registration and Admission

  • Registering and admitting patients using the SAP HIS system
  • Updating patient information and ensuring accurate demographic details
  • Billing patients according to hospital protocols

2. Manual Administration During System Downtime

  • Opening manual patient files
  • Completing downtime registers such as GPR01, TPH208, and TPH201
  • Ensuring all manual data is correctly captured once systems resume

3. File Management and Record Handling

  • Opening new patient files
  • Filing patient documents accurately
  • Retrieving files for clinics, doctors, and relevant hospital units
  • Maintaining an organized record system to support patient care

4. Appointment Management

  • Making and managing bookings for patients
  • Assisting with scheduling and coordinating patient visits
  • Providing guidance to patients regarding their appointment times

5. Financial and Belongings Management

  • Handling patient monies and valuables according to hospital policy
  • Ensuring proper documentation and secure storage of items

6. Statistics and Stock Control

  • Conducting daily headcount statistics
  • Ordering stock using VA2 and ensuring necessary materials are always available

7. Mortuary Administrative Support

  • Assisting with mortuary file processes
  • Releasing corpses when required and completing all legal and hospital documentation
