Job Purpose

The main purpose of the Administrative Officer role is to provide internal and external office accommodation services to various client departments across the City of Tshwane. This includes administrative support, office space coordination, property data handling, monitoring accommodation needs, and assisting with operational tasks within the Office Accommodation and Operations Subsection.

The Administrative Officer will play a key role in ensuring that municipal departments are properly housed, supported, and serviced in accordance with the City’s property and facility standards.

Minimum Appointment Requirements

To qualify for this Administrative Officer position, applicants must meet the following criteria:

1. Educational Requirements

  • Grade 12 / Matric certificate
  • Any additional property‑related or administrative training will be advantageous.

2. Work Experience

  • At least six months of relevant working experience in property industry-related work, such as:
    • Property management
    • Facilities management
    • Office accommodation
    • Administration within the built environment

3. Additional Requirements

  • A valid Code B driving licence
  • Physically fit and able to perform site inspections
  • Computer literate, with the ability to work on digital systems
  • Must undergo a criminal record check
  • Must be prepared to have fingerprints taken by Tshwane Metro Police (at applicant’s cost)
  • Willing to work indoors and outdoors in any Tshwane region
  • Must be willing to work standby, overtime, or extended hours when needed

Primary Duties & Responsibilities

As an Administrative Officer in the City of Tshwane’s Group Property Department, the successful candidate will be responsible for the following:

1. Office Accommodation Support

  • Provide internal and external office accommodation services to client departments
  • Coordinate and support the allocation of office space and parking
  • Execute all accommodation‑related instructions from the supervisor

2. Site Visits and Inspections

  • Conduct onsite inspections of municipal properties
  • Assess property conditions and accommodation suitability
  • Report findings to the Supervisor and relevant stakeholders

3. Data Capture and Administration

  • Capture property data in documents and relevant municipal systems
  • Maintain updated records of all property‑related information
  • Support accurate reporting and compliance documentation

4. Research & Stakeholder Support

  • Conduct property‑related research when required
  • Assist client departments with information, support, and queries
  • Prepare, compile, circulate, and distribute official documents

5. Project Administration

  • Provide administrative assistance for property, accommodation, and facilities projects
  • Track project progress, timelines, and documentation
  • Assist the section with logistics and operational planning

6. Meeting Coordination

  • Arrange meetings, venues, and logistics for the section
  • Take minutes and maintain organised records of all meeting documents

7. Records & Communication Management

  • Maintain neat and updated departmental records
  • Monitor incoming and outgoing phone calls and emails
  • Ensure proper communication flow within the section
