Role Overview
The Hygiene Sampler (Non‑Permanent Employee) is a fixed‑term contract role based in Secunda, supporting Sasol Mining. The position plays a crucial administrative and operational support function, ensuring the team maintains high organisational efficiency, accurate documentation, and effective workflow processes.
Although titled “Hygiene Sampler,” the role functions as a high‑level administrative support professional, assisting with scheduling, document management, correspondence handling, data capturing, record‑keeping, and office coordination. This position is ideal for candidates with strong organisational skills, attention to detail, and the ability to multitask in a dynamic operational environment.
Purpose of the Job
The primary purpose of this 18‑month contract role is to provide comprehensive administrative support to a designated team within Sasol Mining. The role ensures smooth day‑to‑day operations, improves workflow efficiency, supports office systems, and strengthens communication channels across the department. The Hygiene Sampler contributes significantly to departmental performance by maintaining accurate records, supporting meetings and schedules, coordinating logistics, and ensuring that office processes run seamlessly.
Key Responsibilities
1. Administrative & Office Support
- Handle enquiries, screen calls, and provide relevant information to internal and external clients.
- Schedule appointments, manage calendars, and ensure all administrative tasks are prioritised and completed within required timelines.
- Develop presentations, reports, letters, and other documentation as needed.
- Organise meetings, take minutes, prepare attendance registers, and distribute meeting notes.
- Book meeting rooms, conference facilities, and ensure teams have the necessary resources for meetings and events.
- Arrange internal and external conferences, workshops, and departmental functions.
2. Document & Information Management
- Prepare, type, and edit professional documents, correspondence, and reports.
- File, organise, and store paperwork, records, and digital documentation in secure systems.
- Photocopy, scan, print, and distribute documents for team members.
- Handle confidential information with integrity and discretion.
- Ensure forms are completed accurately according to Sasol standards.
- Maintain both electronic and hard‑copy filing systems.
3. Communication & Client Interaction
- Liaise with staff across departments and external stakeholders to support operational needs.
- Respond to incoming mail, emails, and general correspondence.
- Assist visitors, clients, contractors, and colleagues by directing them appropriately.
- Answer telephones, transfer calls, take messages, and provide accurate information when required.
- Ensure a professional and welcoming environment for all individuals interacting with the department.
4. Data Capturing & Reporting
- Capture data accurately in standardised formats and update record systems.
- Reconcile, manipulate, and analyse data from various internal and external sources for management reporting.
- Prepare routine departmental reports, summaries, and information schedules.
- Monitor departmental expenditures, maintain cost records, and support budget administration.
5. Logistics & Travel Coordination
- Coordinate travel bookings such as flights, accommodation, car rentals, and itineraries for team members.
- Maintain travel schedules to avoid conflicts and ensure alignment with organisational procedures.
6. Office Resource Management
- Control stock of stationery and office supplies.
- Order new materials as needed and maintain accurate inventory lists.
- Ensure office equipment is functional and report maintenance issues promptly.
7. Compliance & Organisational Support
- Adhere to service‑level agreements and internal governance frameworks.
- Support the implementation of office procedures and ensure alignment with company policies.
- Maintain high levels of organisation, safety awareness, and adherence to operational standards.
Minimum Requirements
Educational Requirements
- High School Diploma / Grade 12 or equivalent qualification.
Experience
- No prior experience required (0+ years).
- Entry‑level candidates with strong potential and willingness to learn are welcome.
