Position Overview

The City of Tshwane is seeking two dedicated, organised, and detail‑oriented Administrative Officers to provide effective and efficient administrative support within the Business Compliance and Regulation Section under the Economic Development Division.

The primary purpose of this role is to:

Appointment Requirements

To qualify for this position, applicants must meet the following minimum criteria:

Educational Requirements

  • Grade 12 (Matric) — compulsory

Experience Requirements

  • At least six months of relevant administrative work experience
    (Experience in government, compliance, regulatory, or office management environments is an advantage.)

Other Mandatory Requirements

  • Computer literacy (MS Office, email, digital management tools)
  • Willingness to undergo a criminal record check
  • Candidates must allow fingerprinting by the Tshwane Metro Police Department at their own cost

Key Functions and Responsibilities

The Administrative Officer will support the Business Compliance and Regulation Section with daily administrative tasks, financial processes, personnel support, and office coordination.

1. Administrative Support

  • Manage office documentation, correspondence, filing systems, and record management
  • Process incoming and outgoing documents with accuracy and care
  • Maintain an organised office environment that supports productivity

2. Logistical Support

  • Coordinate logistics for meetings, workshops, and events
  • Ensure availability of meeting materials, equipment, and venue bookings
  • Track and request office supplies, equipment, stationery, and resources

3. Financial Management Support

  • Assist with budget administration, financial monitoring, and expenditure tracking
  • Capture and verify financial transactions with accuracy
  • Support invoice processing, petty cash handling, and financial record‑keeping
  • Ensure compliance with municipal financial procedures and timeframes

4. Secretariat Duties

  • Provide secretariat support during departmental meetings
  • Prepare agendas, take minutes, and maintain meeting records
  • Ensure timely distribution of minutes and follow‑up items

5. Personnel Management Support

  • Assist with personnel documentation, attendance registers, leave forms, and HR‑related administration
  • Maintain confidential personnel records
  • Support the onboarding process for new employees

6. Procurement & Payments

  • Process procurement requests according to municipal policies
  • Track orders, delivery notes, and supplier documentation
  • Facilitate payment processes and maintain compliance records
  • Maintain proper control over goods, services, and financial documentation
