Ekurhuleni West TVET College (EWC), a leading institution in technical and vocational training, is seeking a detail‑orientated, organised, and technologically skilled Data Capturer to join the Kempton Campus administration team. This permanent position forms part of the College’s mission to maintain efficient academic processes, accurate record‑keeping, and high‑quality student information systems.

The ideal candidate will be responsible for capturing, updating, validating, processing, and maintaining academic data and administrative records, ensuring compliance with DHET and institutional regulations.


Purpose of the Position

The Data Capturer supports academic and administrative operations by accurately capturing student-related information, class schedules, assessments, attendance, registration data, and various administrative documents. This role ensures effective data processing within the College’s Information Technology System (ITS) and contributes to improving service delivery to students, lecturers, and campus stakeholders.

The duties of the Data Capturer include:


1. Academic Data Processing

  • Capture and verify student marks for internal assessments and examinations.
  • Maintain accuracy and confidentiality of academic records.
  • Work closely with lecturers and academic officers to ensure all marks are submitted correctly and on time.

2. ITS Data Management

  • Use the ITS system (Integrated Tertiary Software) to process academic, registration, and timetable data.
  • Ensure all student records captured in ITS are valid, up-to-date, and compliant with DHET standards.
  • Support system updates, data validations, and error corrections.

3. Timetable Capturing

  • Capture and update class, venue, and lecturer timetables.
  • Maintain timetable accuracy to ensure smooth academic operations.
  • Assist with conflict resolution relating to scheduling discrepancies.

4. Attendance & Register Processing

  • Print class registers for lecturers.
  • Capture attendance registers daily/weekly.
  • Maintain audit-ready attendance records.
  • Support the monitoring of student participation and reporting.

5. Customer Service & Frontline Support

  • Answer incoming calls professionally.
  • Assist students and stakeholders with general queries.
  • Provide support during busy periods such as registration.

A strong customer service approach is essential in maintaining a positive campus experience.


6. Registration Support

  • Assist with the student registration process, including capturing biographical and academic details.
  • Help verify supporting documentation for new and returning students.
  • Maintain accurate records aligned with DHET registration requirements.

7. Data Capturing & General Administration

  • Capture data in all required administrative systems.
  • Prepare and assist with reporting tasks.
  • Maintain digital and physical filing systems.
  • Support campus operations through administrative assistance as required.

8. Basic Finance Administration

  • Capture financial data where needed.
  • Assist with handling registration payments (when assigned).
  • Follow College financial procedures strictly.

9. Report Writing

  • Compile reports related to marks, attendance, registration numbers, and data irregularities.
  • Prepare documentation for internal and external audits.
  • Maintain up‑to‑date spreadsheets for analysis and record-keeping.

Minimum Requirements

To qualify, applicants must meet the following:

Educational Requirements

  • Matric / Grade 12
  • National Diploma in Management Assistant or equivalent qualification

Experience

  • 0–1 year working experience related to data capturing or office administration
  • College/TVET environment experience is advantageous

Computer Skills

  • Strong knowledge of Microsoft Excel
  • Proficiency in Microsoft Office Suite & Outlook
  • Exposure to ITS (Integrated Tertiary Software) is a strong advantage

Knowledge & Skills

  • Understanding of office management processes
