Minimum Requirements:

  • A Senior Certificate (Grade 12) accompanied by a Secretarial Diploma or an equivalent qualification.
  • At least three (3) years of relevant experience providing support services to senior management.
  • Proven ability to work independently, with professionalism, accountability, and integrity.
  • Proficient computer skills and general digital literacy.
  • Strong verbal and written communication skills, with the ability to engage effectively with individuals across various levels and backgrounds.
  • Excellent telephone etiquette, as well as strong organizational and planning abilities.
  • Effective interpersonal skills and the ability to work well with others.
  • High degree of reliability and trustworthiness.
  • Sound written communication and drafting skills.
  • Ability to perform basic legal research.
  • Demonstrated discretion and the ability to handle sensitive and confidential matters appropriately.
  • Professional appearance, conduct, and presentation.
  • Solid understanding of relevant legislation, policies, regulations, and procedures applicable in the public sector.
  • A valid driver’s license would be an added advantage.

Key Responsibilities:

  • Deliver comprehensive secretarial and administrative support to the Office of the Special Director of Public Prosecutions (SDPP).
  • Receive and appropriately direct telephone calls, ensuring proper referrals when calls are not intended for the SDPP.
  • Prepare and type various documents, and operate office equipment such as photocopiers and fax machines.
  • Provide general clerical support to facilitate efficient office operations.
  • Coordinate travel arrangements, logistics for meetings and events, and process travel and subsistence claims.
  • Accurately record and transcribe minutes of meetings.
  • Draft routine correspondence and internal communication.
  • Develop and maintain an organized, user-friendly filing and document management system.
  • Manage procurement of office supplies and standard items.
  • Communicate and liaise with other NPA offices and administrative departments on matters related to office administration.
  • Redirect correspondence addressed to the SDPP to appropriate offices or personnel.
