Purpose of the Role:
To provide comprehensive coordination, administrative support, data reporting, and analytical assistance to the management team within the department. The role requires a high level of accuracy, efficiency, and professionalism to ensure smooth departmental operations.
Minimum Requirements:
- Grade 12 (Matric).
- Experience in business management; a relevant Certificate or Diploma will be advantageous.
- Minimum of 1–2 years’ experience in an administrative role.
- A valid driver’s license and access to reliable transport.
- Willingness and ability to work extended hours when necessary.
- Proficiency in Microsoft Office Suite with advanced skills in Excel, Word, and PowerPoint.
- Strong verbal and written communication skills in English.
- Proven ability to manage and resolve conflict effectively.
- Capable of managing stress and performing well under pressure.
- Ability to work independently and meet tight deadlines.
- Professional conduct when liaising with staff across all organizational levels.
- High levels of motivation, enthusiasm, and a proactive mindset.
Key Performance Areas:
- Serve as personal assistant and provide direct support to the Head of Department (HOD).
- Perform data analysis and provide relevant business insights.
- Handle general office administration and manage routine clerical tasks.
- Coordinate departmental communications, including emails and formal correspondence.
- Maintain strict confidentiality in all matters of communication and documentation.
- Manage and process leave applications and related records.
- Ensure timely resolution of all payroll and remuneration-related queries.
- Submit and track pay-related documentation and requests.
- Compile, consolidate, and distribute management information and reports.
- Prepare daily, weekly, and monthly operational reports.
- Type and format reports, documents, and presentations as required.
- Support day-to-day operations by responding to queries and coordinating departmental activities.
- Contribute strategic recommendations on process automation, innovation, and operational efficiency.
- Perform ad-hoc administrative tasks as needed in response to business demands.
