Role Purpose

To provide comprehensive administrative support to the Estates Management function by accurately processing documentation related to rental and electricity consumption payments. This includes liaising with landlords, municipalities, and other external parties to resolve queries and ensure payments are made on time. The role also involves assisting with lease/contract data processing for system migration and supporting all related administrative tasks.


Key Responsibilities

  • Prepare, validate, and reconcile data for successful data migration.
  • Capture and maintain accurate lease agreement information in relevant systems (e.g., SAP RE-FX).
  • Communicate with landlords, municipalities, and service providers to ensure timely payment of rental and electricity accounts.
  • Process updates or amendments to lease agreements and accounts on applicable systems.
  • Ensure all financial obligations are recorded and committed in accordance with company financial controls and procedures.
  • Create and manage databases for landlord and account details.
  • Provide administrative support and information to the regional Estates Management team as required.
  • Assist in managing rental and electricity accruals, ensuring accuracy and compliance.

Core Competencies, Knowledge & Experience

  • Proficiency in MS Office Suite (Excel, Word, Outlook).
  • Working knowledge of SAP RE-FX (Essential).
  • Familiarity with company policies, financial controls, and administrative procedures.
  • Minimum of 3 years’ experience in secretarial or office administration (Essential).
  • 1–2 years’ experience in contract administration (Desirable).
  • 1–2 years’ experience in financial or budgeting support (Desirable).
  • Strong interpersonal and communication skills.
  • Proven conflict resolution abilities and customer service orientation.

Required Qualifications

  • Grade 12 or equivalent (Essential).
  • Relevant tertiary qualification in one of the following fields:
    • Facilities Management
    • Property Management
    • Project Management
    • Finance Management
    • Contract Management (Essential)
