Job Purpose
Coordinate and execute all administrative activities—including managing container movements, receiving, dispatching, handling, and communication between clients and management—according to Bidvest IL’s Standard Operating Procedures (QWI). Ensure efficient, timely operations that meet key performance targets.
Qualifications & Experience
Education
-Matric (Grade 12)
-Proficient in MS Office (Outlook, Excel, Word)
Experience
-Minimum 2 years of data capturing
-At least 2 years’ experience with Warehouse Management Systems or similar inventory software
-Solid background in administrative duties such as processing, filing, and both electronic and telephone communication
Key Responsibilities
Administration
-Provide clerical support—mailing, scanning, faxing, copying, filing (both digital and hard copy)
-Perform accurate data entry
-Handle inbound customer calls and inquiries
-Execute daily administrative workflows that align with customer needs, including:
- Repacking & roping
- Devanning
- Inventory management
- Receiving & dispatching containers
- Creating items in the warehouse system
-Assist with stock-take processes
Liaison
-Coordinate with intermodal service providers and client logistics teams
Reporting
-Deliver timely, accurate reports according to client expectations
-Compile monthly management statistics
-Maintain daily operational reports on container movements and service incidents
-Monitor live client call-off dashboards and take action as required
-Complete the following reports:
-EOS Activity Report (daily)
-Yard Verification (every Wednesday and month-end)
-Container Inventory Count (daily EOS)
General Duties
-Build and apply in-depth knowledge of containers and client operations
-Perform additional tasks as assigned by senior staff
