JJob Purpose
The primary purpose of this role is to support patients throughout their admission and discharge processes, ensuring a smooth and professional experience. In doing so, the position safeguards the organization against both operational and financial risks while maintaining high standards of patient care and exceptional client service.
Key Responsibility Areas
Admissions and Pre‑Admissions:
- Record and manage patient admissions, ensuring compliance with the organization’s standard procedures.
- Coordinate pre-admission assessments and provide necessary documentation and information to patients prior to their visit.
- Ensure accurate collection and verification of patient information, including insurance details, medical history, and consent forms.
Discharge Management:
- Oversee the patient discharge process, ensuring it aligns with the organization’s Patient Administration Manual.
- Collaborate with medical and nursing teams to prepare discharge summaries and any follow-up care instructions for patients.
- Coordinate the safe return of patients’ belongings and manage their transition out of the healthcare facility smoothly and efficiently.
Risk Prevention:
- Identify potential financial and operational risks, such as patients on blacklists or unreported valuables, and take necessary actions to mitigate those risks.
- Strictly adhere to relevant policies and guidelines to ensure that patient data is handled securely and accurately.
- Regularly monitor for any discrepancies or irregularities that could affect the financial stability of the facility.
Confidentiality:
- Uphold strict patient confidentiality at all times, following legal and ethical standards.
- Handle all sensitive patient information, including medical records and financial details, with complete discretion and professionalism.
- Ensure that patient information is only shared with authorized personnel and in accordance with privacy regulations.
Required Education
Essential:
- Grade 12 (or equivalent) educational qualification.
Desirable:
- Additional qualifications in healthcare administration or a related field may be advantageous, though not mandatory for this role.
Required Experience
Essential:
- No prior experience required. This is an entry-level role, and training will be provided.
Desirable:
- Previous experience in reception administration or working in a private healthcare setting is beneficial but not essential.
Required Skills & Knowledge
Healthcare Software and Systems:
- Proficiency in using Debtpack Enquiry to check for outstanding balances and blacklisted patients.
- Familiarity with AS400 patient administration systems for managing patient data, admissions, and discharges.
Patient Management Functions:
- Experience in managing patient admissions, coordinating bed assignments, preparing for discharge, and overseeing the discharge process.
- A solid understanding of patient needs and care coordination in a healthcare setting.
Medical Knowledge:
- A strong understanding of medical terminology, basic anatomy, and relevant medical codes such as ICD and CPT.
- Knowledge of private medical aid schemes and how they impact billing and patient services.
System and Compliance Awareness:
- Knowledge of hospital switchboard systems, including directing calls, managing inquiries, and coordinating with various hospital departments.
- Familiarity with cash handling procedures and processing WCA (Workmen’s Compensation Act) claims.
- Awareness of emergency protocols, including evacuation plans and responses to emergencies like fire, flood, or robbery.
Administrative and Office Skills:
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel) for daily administrative tasks.
- Strong organizational skills for managing patient schedules, appointments, and documentation.
Risk Identification:
Understanding of how to report, track, and address risks that could affect the organization’s financial health or operational integrity.
Ability to identify potential financial risks such as blacklisted accounts, unpaid bills, or errors in billing processes.
