Key Purpose of the Role
The Receptionist (Temp) will provide front-desk support through professional visitor engagement, call handling, and administrative coordination. Responsibilities include managing inquiries, booking meeting rooms, maintaining office orderliness, and assisting in day-to-day tasks that ensure efficient business operations.
This role requires a high level of discretion, excellent communication skills, and the ability to multitask effectively. You will also play a support role in promoting a safe and secure workplace in line with Deposita’s health and safety protocols.
Reception and Office Management Responsibilities
- Greet visitors, guests, and contractors warmly and maintain a professional and friendly atmosphere in the reception area.
- Handle incoming calls with accuracy and courtesy; redirect calls to appropriate personnel or take detailed messages.
- Manage visitor access and sign-in processes, ensuring compliance with internal security protocols.
- Maintain the reception and waiting areas to be tidy, professional, and welcoming at all times.
- Schedule and prepare meeting rooms for internal and external meetings; track room usage and availability.
- Coordinate courier services, track collections and deliveries, and log dispatch information in the relevant registers.
- Sort, distribute, and manage incoming and outgoing mail.
- Maintain an up-to-date list of emergency and key internal contact numbers for quick access.
- Maintain close working relationships with staff, service providers, and external partners to ensure efficient coordination.
- Log telephone or IT faults and escalate queries to the relevant department for resolution.
- Provide administrative support to operational functions such as assisting with vehicle infringements reporting and contractor compliance documentation.
- Update and assist with General Building Security SOPs in collaboration with the Facilities team.
Health and Safety Responsibilities
- Participate in workplace safety initiatives including safety meetings, toolbox talks, and emergency response planning.
- Report any health and safety incidents promptly and assist in investigations as required.
- Ensure all contractors complete the necessary Safety Regulations for Contractors document before commencing work on-site.
- Distribute safety-related information and follow up on assigned safety tasks.
- Attend mandatory safety training and refreshers to stay informed of policy changes.
- Promote a culture of safety awareness and compliance in line with company policies and legal obligations.
Minimum Qualifications and Experience
- Matric / Grade 12 Certificate (essential)
- A Diploma in Office Administration or Office Management will be an advantage
- Minimum of 1 year experience in a reception or administrative support role
- Exposure to a corporate or customer-facing environment will be beneficial
- Familiarity with health and safety protocols in office environments is desirable

- Proficient in Google Workspace and/or Microsoft Office Suite (Gmail, Docs, Sheets, Outlook, Word, Excel)
- Professional demeanor and dress code adherence in a client-facing role
