To support our growing operations, we are seeking a skilled and dedicated Office Administrator. This role is pivotal in driving efficiency across our recruitment processes, supporting candidate sourcing, and ensuring smooth coordination between clients, stakeholders, and applicants.


Purpose of the Role

The Office Administrator will perform a variety of administrative and research-based tasks to support the recruitment lifecycle. This includes active and passive talent sourcing, database management, candidate screening, and coordination of interviews.

The successful candidate will play a key role in identifying qualified candidates through diverse channels such as job boards, social media platforms, professional networks, and headhunting techniques.

Your contribution will ensure that our recruitment team meets its targets while consistently providing exceptional service to both clients and candidates.


Key Duties & Responsibilities

Recruitment Administration

  • Provide end-to-end administrative support to the recruitment team.
  • Manage and maintain accurate candidate records and recruitment databases.
  • Type and format professional CVs and related documentation.
  • Prepare recruitment-related reports, statistics, and dashboards for stakeholders.

Candidate Sourcing & Engagement

  • Conduct detailed research to identify candidates with the right skills, qualifications, and cultural fit.
  • Utilise multiple sourcing strategies including job portals, LinkedIn, Facebook, Instagram, recruitment databases, and targeted advertisements.
  • Proactively headhunt and network to identify passive talent.
  • Match candidates against detailed job descriptions to ensure best-fit shortlists.
  • Screen CVs and set up interviews in coordination with recruitment consultants and hiring managers.
  • Follow up with candidates on applications, interview feedback, and status updates.

Social Media & Talent Attraction

  • Implement and maintain a social media recruitment plan to attract quality candidates.
  • Create engaging job posts, content, and campaigns to boost employer branding.
  • Monitor the effectiveness of sourcing strategies and make recommendations for improvement.

Operational Efficiency

  • Ensure smooth communication across candidates, recruiters, and clients.
  • Support compliance by ensuring all documentation and records are accurately stored.
  • Identify areas for process improvement within recruitment administration.
  • Work towards achieving defined recruitment administration and sourcing KPIs.

Desired Experience & Qualifications

Education

  • Matric/Grade 12 is essential.
  • Further qualifications in Human Resources, Recruitment, Office Administration, or related fields will be an advantage.

Experience

  • 5 to 8 years’ experience in recruitment administration or talent sourcing.
  • Proven track record of handling administrative tasks within a recruitment function.
  • Hands-on experience in headhunting and candidate sourcing via social media, search engines, and professional platforms.

Skills & Competencies

  • Strong analytical skills with the ability to assess CVs, job requirements, and candidate fit.
  • Excellent English writing skills for CV preparation, candidate communication, and stakeholder reports.
  • Above-average communication and interpersonal skills, with the ability to engage confidently with candidates and clients.
  • Proficiency in Microsoft Excel and Microsoft Office Suite (Word, Outlook, PowerPoint).
  • Strong organisational and time-management skills with the ability to work under pressure and meet deadlines.
  • Professional discretion, confidentiality, and attention to detail.

Other Requirements

  • Own reliable transport.
  • Must reside in or near Sandton for daily office-based responsibilities.
