We are looking for a dynamic and detail-oriented Reconciliation Clerk to join our team at the Benoni Bakery. Reporting directly to the Production Manager, the successful candidate will play a vital role in ensuring accuracy, efficiency, and compliance in stock reconciliation and consumables management.
Purpose of the Role
The Reconciliation Clerk is responsible for ensuring that consumables received are properly inspected, correctly identified, and allocated to the appropriate stock codes. This role is crucial in maintaining accurate stock reconciliations, supporting compliance with food safety standards, and ensuring that production processes run smoothly through effective stock and materials control.
Key Responsibilities
Stock & Inventory Control
- Verify and inspect all consumables and raw materials received against supporting documentation.
- Ensure correct allocation to stock codes and maintain accurate records of receipts.
- Implement and manage stock control systems, including manual Kardex and Syspro systems.
- Conduct daily, interim, and month-end stock counts, reconciling physical counts with system-generated reports.
- Monitor and maintain inventory levels, ensuring re-ordering is aligned with production requirements.
- Enforce strict control over stock issuance to production and slicing departments.
Process & Systems Management
- Maintain and improve existing stock coding systems and physical storage areas for efficiency.
- Manage purchase orders (from creation on Syspro through to completion), goods receipts (GRVs), and invoices.
- Ensure accurate processing of transfers, damages, and backflushing.
- Track and follow up on outstanding orders, investigate discrepancies, and resolve problems.
- Generate and maintain accurate databases of purchases, returns, and inventory movements.
Compliance & Documentation
- Verify that all material certificates align with material identification and file accordingly.
- Process goods received documentation in compliance with food safety and quality requirements.
- Ensure all returns are processed in accordance with food safety policies and procedures.
- Maintain audit-ready documentation for internal and external compliance purposes.
Administration & Reporting
- Prepare and process invoices for payment.
- Generate and submit routine reports, including outstanding claims, purchase orders, negative stock balances, and other required reconciliations.
- Support routine administrative functions related to procurement, stock control, and production reporting.
- Accurately capture stock count sheets, produce variance reports, and escalate discrepancies.
Leadership & Team Support
- Lead, train, and guide junior staff or team members under your supervision.
- Provide hands-on coaching to ensure compliance with stock management processes.
- Promote a culture of discipline, accountability, and continuous improvement in the stores and production environment.
Other Duties
- Ensure strict regulation and control of access to stores by suppliers and employees.
- Maintain excellent relationships with internal stakeholders and external suppliers.
- Perform ad hoc duties as required to support production and operational continuity.
Minimum Requirements
Education & Qualifications
- Grade 12 / Matric (Essential).
- National Diploma in Logistics or Production Management (Preferred).
Experience
- Minimum of 5 years’ experience in an FMCG environment (Essential).
- Minimum of 3 years’ experience in managing a department or supervisory role (Essential).
Technical Knowledge & Skills
- Strong computer literacy: MS Office (Excel, Word, Outlook).
- Working knowledge of Syspro (or similar ERP systems).
- Experience with stock reconciliation, Kardex systems, and backflushing processes.
- Familiarity with food safety standards and compliance requirements.
- Ability to manage databases, prepare administrative paperwork, and generate variance reports.
