About the Role

We are seeking a professional and customer-focused Receptionist to manage our front desk, switchboard operations, and provide vital administrative support. As the first point of contact for visitors, clients, and callers, you will play an important role in representing the company’s values and culture. This role requires excellent communication skills, a welcoming attitude, and strong organisational ability to ensure that all interactions leave a positive and professional impression.


Key Responsibilities

Switchboard & Call Management

  • Efficiently operate the switchboard, ensuring calls are answered promptly and professionally.
  • Direct calls to appropriate departments and staff members, ensuring smooth communication across the business.
  • Take accurate and detailed messages, ensuring information is relayed in a timely manner.
  • Monitor and maintain the functionality of switchboard equipment, reporting issues when necessary.

Front Desk Reception & Customer Service

  • Greet and welcome visitors, clients, and stakeholders in a professional and friendly manner.
  • Handle general inquiries and assist visitors with directions or information as required.
  • Address customer queries and resolve minor issues, escalating complex concerns to the relevant department.
  • Uphold the company’s image by maintaining a neat and professional reception area.

Administrative Support

  • Perform general administrative tasks including filing, data capturing, photocopying, and scanning.
  • Assist with correspondence, document preparation, and routine reporting.
  • Maintain accurate visitor logs, ensuring security and compliance procedures are adhered to.
  • Support colleagues and departments with ad hoc administrative duties when required.

Equipment & Facility Management

  • Ensure all reception and office equipment is maintained in good working order.
  • Report technical issues or faults to IT or facilities teams for resolution.
  • Support the upkeep of a professional office environment by ensuring reception standards are consistently met.

Minimum Requirements

Education

  • Grade 12 / Matric (Essential).

Experience

  • At least 1 year of proven experience as a Receptionist (Essential).
  • Preferably 1–2 years of prior switchboard operation experience (Advantageous).

Skills & Technical Competencies

  • Basic computer literacy, including MS Office (Word, Outlook, Excel).
  • Strong verbal and written communication skills.
  • Professional telephone etiquette and customer service orientation.
  • Ability to manage multiple tasks efficiently in a busy environment.
  • Accuracy and attention to detail in message taking and record-keeping.
