We are now seeking a dedicated Administrator to join our Operations Catering team in Durban (Mount Edgecombe). This role will support the Project Manager/Catering Manager in overseeing documentation processes, managing administrative duties, and ensuring seamless operational support at unit level.


Purpose of the Role

The Administrator is responsible for coordinating and executing administrative processes that underpin the daily operations of the catering unit. From documentation management and staff onboarding to procurement, consumables tracking, and compliance, the Administrator ensures operational excellence and efficiency while supporting management in delivering outstanding client service.


Key Duties and Responsibilities

The successful candidate will be expected to:

Client and Stakeholder Support

  • Act promptly and professionally when addressing client requests, ensuring proactive solutions and service excellence.
  • Collaborate with the Catering Manager and Project Manager to provide reliable support across unit operations.

Procurement and Stock Control

  • Manage and place orders for consumables in line with company procedures.
  • Monitor stock levels on site, ensuring consistent availability to support seamless operations.
  • Maintain and update the monthly consumables file and provide accurate documentation to the Unit Manager at month-end for processing and billing.

Human Resource Support

  • Assist with the induction and onboarding of new recruits, ensuring smooth integration into the workplace.
  • Manage staff uniform records and ensure correct issuance and upkeep.
  • Schedule, track, and coordinate online training sessions for employees to ensure compliance with internal training requirements.
  • Ensure staff members receive their payslips timeously.

Administration and Documentation

  • Maintain accurate and up-to-date unit files in line with company policies (TCS Policy and Procedure file).
  • Keep notice boards updated and aligned with compliance requirements.
  • Maintain filing systems for stock, consumables, HR documentation, and compliance records.
  • Provide administrative support as required by unit management to ensure smooth operations.

Minimum Requirements

  • Education: Grade 12 / Matric (Essential).
  • Experience: Demonstrated administrative skills and at least 1–2 years’ administrative experience in a fast-paced operational environment (Essential).
  • Technical Competencies: Computer literacy, including proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Other Requirements: A valid driver’s license will be an advantage.
