The successful candidate will play a critical role in ensuring accurate data management and reporting that supports the effective functioning of executive committees, mayoral programs, and council activities.
Purpose of the Job
To capture, record, and maintain accurate information received from the Cluster, Mayoral Committee, Section 79 Committees, Programming Committee, and Council on the City of Johannesburg’s official systems. The incumbent will ensure data integrity, compliance with established protocols, and timely follow-ups on issues requiring LOEB attention.
Key Performance Areas
The successful candidate will be responsible for the following key duties and responsibilities:
- Data Capturing and Information Management
- Capture and verify information from multiple City governance structures, including the Cluster, Mayoral Committee, Section 79, Programming Committee, and Council.
- Ensure the completeness and accuracy of all captured data in line with management directives and system requirements.
- Maintain and update data records, reports, and documentation to facilitate decision-making and transparency.
- Monitoring and Follow-Up Activities
- Record and track issues raised during Mayoral Committee meetings and regional tours.
- Follow up on outstanding items requiring action by the Leader of Executive Business.
- Ensure that progress on assigned tasks is recorded within the relevant municipal systems.
- Administrative and Reporting Support
- Compile summaries and maintain accurate logs of captured data.
- Support internal reporting processes through timely submission of data and reports.
- Assist in maintaining organized filing systems and data archives.
- Compliance and Quality Assurance
- Ensure adherence to the City’s minimum capturing standards and data governance protocols.
- Uphold confidentiality, accuracy, and integrity of municipal data at all times.
- Comply with the City’s quality management framework and internal audit requirements.
Minimum Requirements
Applicants must meet the following minimum qualifications and experience requirements to be considered:
- Educational Qualification: Matric Certificate / Grade 12 (NQF Level 4).
- Experience: 1–2 years of relevant experience in administration, clerical support, or data capturing.
- Technical Skills:
- Intermediate computer literacy (MS Office applications – Word, Excel, Outlook).
- Ability to manage and capture large volumes of data accurately.
- Basic understanding of administrative processes and document management systems.
- Soft Skills:
- Strong written and verbal communication skills.
- Good interpersonal and organizational abilities.
