These posts are situated within the Western Cape Department of Social Development’s residential care and rehabilitation centres. Successful candidates will provide essential administrative and operational support to ensure the effective functioning of each facility.
Purpose of the Job
To provide efficient and effective administrative and clerical support services within assigned secure care, treatment, or rehabilitation centres. The incumbent will be responsible for maintaining accurate records, supporting human resource and financial processes, and ensuring compliance with departmental policies and legislative frameworks that guide the delivery of social development services.
Minimum Requirements
- Educational Qualification: Grade 12 (Senior Certificate) or equivalent qualification (NQF Level 4).
- Experience: No previous experience required; however, relevant administrative exposure will be advantageous.
Recommendations
- Familiarity with public sector administrative systems and procedures.
- Understanding of basic financial and supply chain processes.
- Ability to work effectively in a secure care or social development environment.
Key Performance Areas
The successful candidate will be expected to perform the following core functions:
1. General Administrative Support
- Perform routine clerical duties such as filing, photocopying, faxing, and correspondence management.
- Capture, record, and maintain data accurately on prescribed systems.
- Compile and update office records, registers, and databases in accordance with departmental requirements.
- Assist with the coordination of meetings, preparation of minutes, and logistical arrangements for departmental activities.
- Provide frontline support services, including responding to queries and directing clients and visitors appropriately.
2. Supply Chain Administrative Support
- Process requisitions and purchase orders in line with the Department’s Supply Chain Management (SCM) policies.
- Assist with the receiving, recording, and safe storage of goods and materials.
- Maintain an up-to-date inventory and asset register for office equipment and supplies.
- Support procurement processes through document verification and filing of supporting records.
- Liaise with suppliers and internal stakeholders to track orders and resolve delivery discrepancies.
3. Personnel Administration Support
- Assist with HR-related administrative duties, such as capturing attendance, leave records, and staff movement.
- Support recruitment and onboarding activities by preparing and filing personnel documentation.
- Maintain staff files and ensure confidentiality and compliance with the Protection of Personal Information Act (POPIA).
- Provide administrative support in relation to employee performance management and training initiatives.
4. Financial Administration Support
- Process claims, invoices, and petty cash transactions according to departmental financial procedures.
- Reconcile expenditures and assist in compiling financial reports for management review.
- Support the monitoring and control of budget allocations for operational requirements.
- Ensure compliance with the Public Finance Management Act (PFMA) and relevant Treasury regulations.

Remuneration and Benefits
- Annual Salary: R228 321 – R268 950 (Level 5)

Conditions of Employment
