Purpose of the Job
The Administrative Assistant will provide comprehensive administrative and operational support to an allocated team. The successful candidate will contribute to promoting efficiency and organisational excellence in day-to-day office operations, while maintaining high levels of professionalism and attention to detail.
Key Responsibilities
Administrative and Office Support
- Perform general administrative duties, including handling inquiries, scheduling appointments, preparing documents, and maintaining records.
- Support the management team with office coordination, document control, and internal communications.
- Maintain both electronic and hard copy filing systems, ensuring confidentiality, accuracy, and ease of retrieval.
- Organise and store paperwork, reports, and computer-based information for easy access and secure record keeping.
- Compile, format, and distribute meeting notes, correspondence, and management reports in line with company standards.
- Reconcile data from internal and external sources for the preparation of departmental or management reports.
- Manage stationery and office supply inventory, ensuring adequate stock and cost-effective procurement.
Meeting and Event Coordination
- Schedule and coordinate internal and external meetings, events, and conferences.
- Prepare meeting materials, take accurate minutes, and distribute post-meeting summaries or follow-up actions.
- Book meeting rooms, arrange catering, and ensure all logistical requirements are in place for successful meetings or events.
- Coordinate travel, accommodation, and transport arrangements for team members and visitors.
Communication and Client Interaction
- Act as the first point of contact for internal and external queries, ensuring professional and efficient communication.
- Answer and route telephone calls, take messages, and provide accurate information to callers.
- Welcome and assist visitors, clients, and service providers courteously, directing them to the relevant departments or individuals.
- Liaise with colleagues, managers, and external stakeholders to ensure effective communication and workflow across departments.
- Draft and issue formal correspondence, reports, and newsletters as required.
Data Entry and Record Management
- Capture and maintain accurate data in approved systems and databases.
- Ensure compliance with Sasol’s document management and data protection policies.
- Perform sorting, filing, indexing, and cross-referencing of materials and documentation.
- Retrieve and attach relevant records to incoming correspondence and queries.
- Monitor expenditure and assist with departmental budget tracking, ensuring proper authorisation and record keeping.
Operational Excellence
- Ensure adherence to Sasol’s administrative standards, service-level agreements, and company policies.
- Support the implementation and continuous improvement of office procedures to enhance efficiency.
- Manage petty cash and invoice processing in line with company financial procedures.
- Participate in projects, audits, or ad hoc tasks as required by the manager.
- Demonstrate accountability and attention to detail in every aspect of work, contributing to the team’s success.
Qualifications and Experience
Formal Education:
- Matric / Grade 12 (NQF Level 4) or equivalent.
Experience:
- Minimum of 0–2 years’ experience in an administrative or clerical role (exposure to a corporate or industrial environment advantageous).
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and standard office systems.
- Strong organisational skills with a proven ability to manage multiple priorities effectively.
