Main Purpose of the Job

The Patient Administration Clerk plays a key role in managing all aspects of patient admissions and discharges in a professional, accurate, and patient-focused manner. The incumbent ensures that all administrative procedures are completed according to policy while minimizing operational and financial risks to the organisation. The position requires a combination of attention to detail, empathy, and strong organisational ability to ensure a seamless patient experience.


Key Responsibilities

1. Patient Admissions and Bookings

  • Capture and process all patient admissions, including pre-admissions and bookings, accurately and efficiently according to established procedures.
  • Verify and record patient details, including medical aid and payment information, ensuring completeness and accuracy.
  • Communicate effectively with patients, families, and clinical teams to ensure a smooth admission process.
  • Coordinate with relevant departments to prepare beds and resources for incoming patients.

2. Financial Risk Management

  • Identify and prevent financial risks by adhering to Mediclinic’s administrative and financial policies.
  • Verify medical aid benefits, authorisations, and payment arrangements prior to admission.
  • Utilize the Debtpack Enquiry application to check for outstanding amounts and handle flagged or blacklisted patient accounts accordingly.
  • Ensure all payments, deposits, and billing activities are processed accurately, following cash-handling policies.

3. Discharge Process Management

  • Facilitate an efficient discharge process in accordance with the Patient Administration Manual.
  • Ensure that all billing and account settlements are finalised before patient discharge.
  • Coordinate with nursing and billing teams to ensure that patient records are updated and closed correctly.
  • Maintain professionalism and compassion when assisting patients and their families during discharge procedures.

4. Data Integrity and Record Keeping

  • Maintain accurate and confidential patient records in compliance with data protection and privacy regulations.
  • Capture patient data on Mediclinic’s AS400 system and ensure that information is regularly updated and verified.
  • File documentation systematically to enable easy retrieval and audit compliance.
  • Prepare daily reports, statistics, and follow-ups as required by the department.

5. Communication and Service Excellence

  • Act as the first point of contact for patients and visitors, providing excellent customer service and ensuring their needs are met.
  • Communicate clearly and courteously with internal departments and external stakeholders.
  • Uphold Mediclinic’s values of care, compassion, and integrity in all patient interactions.
  • Demonstrate awareness of patient confidentiality at all times.

6. Compliance and Emergency Procedures

  • Adhere to all hospital policies and protocols related to safety, confidentiality, and operational conduct.
  • Assist in implementing emergency and major incident protocols (including fire, flood, or robbery situations).
  • Support quality assurance and compliance efforts within the Patient Administration function.

Qualifications and Experience

Essential Education:

  • Grade 12 / Senior Certificate or equivalent qualification.

Desirable Education:

  • Certificate or diploma in Medical Office Administration, Patient Services, or Healthcare Management.

Experience:

  • No experience required (training provided).
  • Desirable: Previous experience in a hospital or healthcare administration environment; reception or billing experience preferred.

Knowledge and Skills

Technical Knowledge:

  • Strong understanding of patient administration policies and procedures (e.g., confidentiality, cash handling, blacklisted accounts, bed management).
  • Familiarity with medical aid schemes, billing procedures, and private healthcare environments.
  • Basic understanding of ICD and CPT codes.
  • Knowledge of the Workmen’s Compensation Act (WCA) and related processes.
  • Proficiency in hospital systems such as AS400, Debtpack, and other administrative software.
  • Basic anatomy and medical terminology.

Computer Literacy:

  • Proficient in Microsoft Office Suite (Word, Excel, Outlook).
  • Comfortable using hospital management systems and switchboard operations.
