We are currently seeking a highly organised, detail-oriented Operations Administrator to join our team. Job Purpose

The Operations Administrator will provide comprehensive administrative and operational support to the Operations Department. The successful candidate will handle day-to-day administrative functions, maintain accurate operational records, coordinate logistics and scheduling activities, and ensure effective communication between internal teams.

This role is ideal for individuals who enjoy structure, accuracy, and teamwork, and who are eager to grow within an operations or business support environment.


Key Responsibilities

1. General Administrative Support

  • Perform a full range of administrative duties including document management, filing, data entry, and correspondence handling.
  • Maintain accurate and organised digital and physical filing systems for operational documentation.
  • Assist in drafting, formatting, and reviewing internal reports, memos, and correspondence for accuracy and completeness.
  • Process purchase orders, invoices, and operational requests in line with company procedures.
  • Assist with maintaining supplier and vendor records.

2. Operational Coordination

  • Support day-to-day operational functions, ensuring efficient workflow and timely completion of key tasks.
  • Coordinate logistics, scheduling, and delivery arrangements when required.
  • Monitor and follow up on outstanding operational requests or approvals.
  • Track and record operational performance data to support management reporting.
  • Liaise with multiple departments to ensure that all operational deadlines are met.

3. Data and Record Management

  • Update and maintain internal tracking tools, spreadsheets, and databases with accurate information.
  • Capture and monitor operational data to support planning and reporting functions.
  • Generate basic reports, summaries, and performance updates for management.
  • Ensure compliance with company data management standards and confidentiality protocols.

4. Communication and Coordination

  • Serve as a communication link between the Operations Department and other internal teams.
  • Respond to emails, phone calls, and administrative requests in a timely and professional manner.
  • Escalate urgent issues to relevant team members and assist with resolution tracking.
  • Ensure smooth flow of information within the team and across departments.

5. Compliance and Quality

  • Ensure that all operational processes and activities comply with company policies and standard operating procedures.
  • Support the implementation of best practices for operational efficiency.
  • Maintain high standards of accuracy, confidentiality, and professionalism in all administrative duties.

6. Ad-hoc Support

  • Provide additional administrative and operational assistance as directed by the Operations Manager or team lead.
  • Participate in department meetings, take minutes, and follow up on action items.
  • Contribute to team initiatives aimed at improving workflows and productivity.

Minimum Requirements

Educational Requirements

  • Grade 12 / Matric Certificate (NQF Level 4)Essential
  • A tertiary qualification in Office Administration, Business Management, or Operations Management will be advantageous.

Experience

  • 1–2 years’ administrative experience in a corporate or operations environment – Essential
  • Previous experience as an Operations Administrator, Office Assistant, or Administrative Clerk will be advantageous.

Skills and Competencies

  • Strong attention to detail and accuracy in data entry, filing, and reporting.
  • Excellent organisational and time management skills with the ability to prioritise tasks effectively.
  • Proficient computer literacy, including Microsoft Office Suite (Word, Excel, Outlook) and data management tools.
  • Strong written and verbal communication skills.
  • Ability to work well independently and collaboratively as part of a team.
  • Problem-solving mindset and proactive approach to handling daily tasks.
  • Reliable, trustworthy, and committed to maintaining confidentiality.
