Job Purpose
The Library Assistant plays an essential role in supporting the daily operations and service delivery of public libraries. The position aims to promote literacy, lifelong learning, and equitable access to information and educational resources within local communities. Library Assistants serve as the frontline support to patrons — ensuring effective circulation of materials, assisting with user queries, and maintaining an organized and welcoming library environment.
This role is ideal for individuals who are passionate about reading, community engagement, and public service, with strong administrative and interpersonal skills.
Key Responsibilities
1. Circulation and User Services
- Register new members and renew existing memberships efficiently, ensuring the accuracy of member records.
- Issue and return books and library materials using established library systems and procedures.
- Maintain accurate circulation records and ensure proper documentation of all transactions.
- Collect fines, manage overdue notices, and assist users in locating lost or misplaced materials.
- Provide courteous, professional assistance to patrons regarding borrowing, renewals, and account queries.
2. Customer and User Assistance
- Offer exceptional customer service by assisting library users with information needs and general inquiries.
- Guide patrons on how to use the library catalogue, electronic resources, and digital literacy tools.
- Support students, researchers, and general users in locating books and materials within the library system.
- Uphold a friendly, inclusive, and respectful environment for all library users.
3. Collection and Shelf Management
- Shelve returned materials accurately and in proper classification order (Dewey Decimal or library-specific system).
- Conduct regular shelf reading to ensure that books and materials are organized, labeled correctly, and easily accessible.
- Identify and report missing, damaged, or outdated materials to the Librarian or Supervisor.
- Participate in inventory audits and maintain up-to-date records of all library holdings.
4. Library Material Maintenance
- Handle library books and equipment with care to preserve their condition and longevity.
- Prepare and repair books for shelving, including labelling, covering, and minor binding maintenance.
- Ensure the cleanliness and orderliness of reading areas, workstations, and storage rooms.
5. Reading Promotion and Community Engagement
- Assist in planning and implementing reading awareness programs, literacy campaigns, and storytelling sessions.
- Support community outreach initiatives that encourage library membership and reading among children and adults.
- Help organize displays, exhibitions, and themed events to promote library services.
- Foster a reading culture by promoting new books, e-resources, and library activities to the public.
6. Administrative and Clerical Support
- Maintain daily statistics on library usage, including visitor numbers, circulation activity, and event participation.
- File correspondence, handle inquiries, and process new consignment receipts efficiently.
- Ensure accurate record-keeping in both physical and digital formats.
- Support data capturing, report preparation, and communication tasks as directed by management.
Minimum Requirements
- Educational Qualification: Grade 12 / Senior Certificate or equivalent.
- Computer Literacy: Basic proficiency in MS Word, Excel, and library management systems.
- Experience: Prior experience in library administration, customer service, or education environments is advantageous but not mandatory.
