The Office of the Executive Mayor plays a critical role in coordinating executive and administrative functions, ensuring that council resolutions and mayoral directives are implemented effectively. Within this office, the Leader of Executive Business (LOEB) oversees administrative coordination between various committees, clusters, and stakeholders — requiring efficient data management and accurate record-keeping to support decision-making.

To strengthen this mandate, the City invites suitably qualified and motivated candidates to apply for the position of Data Capturer in the Office of the Executive Mayor.


Primary Purpose of the Job

The Data Capturer is responsible for accurately entering, maintaining, and updating information received from multiple city departments and committees, including the Cluster, Mayoral Committee, Section 79 Committees, the Programming Committee, and the Council. The role ensures that all data is properly recorded on the City’s systems, supporting the smooth operation of municipal processes and facilitating timely access to reliable information.

The incumbent will assist the Leader of Executive Business by capturing and monitoring matters arising from MMC Regional Tours, ensuring follow-up actions are tracked, documented, and reported in line with the City’s governance protocols. This position demands a high level of attention to detail, confidentiality, and the ability to work efficiently under pressure to meet tight deadlines.


Key Performance Areas

  1. Data Entry and System Management
    • Capture all relevant information accurately and promptly on the various systems used by the City of Johannesburg.
    • Verify the integrity of data entered and ensure compliance with data-capturing protocols.
    • Update, maintain, and organize records to facilitate easy retrieval and reporting.
    • Perform routine checks to ensure data consistency and completeness.
  2. Administrative and Coordination Support
    • Provide administrative support to the Leader of Executive Business and the broader office.
    • Assist in preparing documentation, reports, and correspondence for submission to Mayoral Committees and Council structures.
    • Support communication flow between departments by accurately relaying and recording data requests, follow-ups, and responses.
  3. Monitoring of Mayoral Committee and Council Issues
    • Capture and track all issues arising from MMC Regional Tours and ensure follow-ups are documented and escalated as necessary.
    • Maintain detailed logs of issues requiring attention from the Office of the Executive Mayor.
    • Assist in producing summary reports for management and committee reviews.
  4. Compliance and Quality Assurance
    • Adhere strictly to the City’s internal controls, policies, and procedures for data management.
    • Maintain confidentiality of sensitive municipal information.
    • Support periodic audits and reviews by providing accurate and complete data records.
  5. Operational Efficiency
    • Comply with minimum data-capturing requirements as laid down by management.
    • Assist in improving administrative systems and record-keeping processes.
    • Contribute to the smooth operation of the Office through proactive task management and effective time utilization.

Minimum Requirements

  • Matric Certificate / Grade 12 qualification is essential.
  • 1 – 2 years of relevant administrative or data capturing experience, preferably in a government or corporate environment.
  • Intermediate computer literacy, particularly in Microsoft Office (Word, Excel, Outlook, and PowerPoint).
  • Strong interpersonal, written, and verbal communication skills.
  • Ability to manage sensitive information responsibly and maintain high accuracy standards.
