Key Purpose of the Role

The Administrative Assistant plays a vital support role within the Sales and Marketing function by providing proactive, accurate, and timeous administrative support to the Key Account Manager. The successful candidate will ensure the effective coordination and administration of key customer portfolios, enabling smooth operational execution, strong customer relationships, and sustainable volume growth across regions. This role is essential in enabling commercially driven decision-making through accurate reporting, efficient communication, and structured support to strategic sales initiatives.


Key Duties, Responsibilities and Accountabilities

The successful candidate will be responsible for the following core outputs and operational responsibilities:

1. Account and Sales Support Administration

  • Provide comprehensive administrative support to the Key Account Manager to ensure optimal account performance.
  • Assist with order capturing from national and regional customers to support volume growth objectives.
  • Support the Business-to-Business (B2B) ordering platform through daily system checks to identify and resolve pricing discrepancies.
  • Ensure accurate processing of customer pricing claims and historical pricing queries to achieve timely resolution and maintain customer satisfaction.

2. Reporting and Performance Monitoring

  • Review, consolidate and analyse daily operational reports including, but not limited to:
    • Out-of-stock reports
    • Sales performance reports
    • New store openings
    • Sales-out data
  • Identify execution gaps, risks, and growth opportunities within customer portfolios and escalate to the Key Account Manager for informed decision-making.
  • Assist in tracking promotional activities and performance against agreed category and customer forecasts.

3. Meeting and Stakeholder Coordination

  • Coordinate and schedule internal and external customer meetings.
  • Prepare agendas, presentations, and meeting documentation.
  • Compile post-meeting reports highlighting key action items, responsibilities, and deadlines.
  • Liaise with various internal departments including Marketing, Finance, Operations, Monster Energy, E-Commerce Teams, Prenbev, and The Coca-Cola Company to ensure alignment and timely flow of information.

4. Strategic and Project Administration

  • Provide administrative assistance on strategic projects, including new product launches, promotional campaigns, and account development initiatives.
  • Track execution of business plans per customer, region, banner, and category to ensure alignment with sales objectives.
  • Monitor promotional grids to ensure promotional execution aligns with category data insights and marketing strategies.

5. Customer Portfolio and Channel Management Support

  • Track and review customer and channel business plans to ensure identified growth opportunities are executed successfully.
  • Support internal engagement initiatives and ensure updates from marketing and operations are communicated to the Key Account Manager.
  • Assist with the management of customer documentation, contracts, promotional agreements, and compliance records.

6. General Office Administration

  • Maintain accurate and up-to-date records and filing systems.
  • Draft correspondence, reports, and presentations as required.
  • Ensure data integrity across reporting and administrative systems.
  • Perform any additional administrative duties required to support the commercial team.

Minimum Qualifications and Experience

  • National Diploma in Sales and Marketing or equivalent qualification.
  • A minimum of 2–3 years’ proven administrative experience within a sales or commercial environment.
  • Strong proficiency in Microsoft Office (Word, Excel and PowerPoint).
  • Sound numerical ability with the capacity to interpret sales and financial data.
  • Prior experience supporting sales managers or key account teams will be an advantage.
