Job Purpose
The Dispatch Clerk plays a critical administrative and operational role within the Clicks Centurion Distribution Centre. The purpose of this position is to ensure the accurate coordination, monitoring, and control of dispatch operations through effective management of Goods-in-Transit (GIT), scanner systems, store documentation, FarEye compliance, and cross-border dispatch processes. The incumbent will be responsible for ensuring that all deliveries are tracked accurately, documentation is compliant, and operational disruptions are minimised across both day and night shifts.
This role is essential in supporting efficient delivery execution, ensuring customer satisfaction, and maintaining compliance with internal control systems and supply chain standards.
Key Performance Areas and Responsibilities
The successful candidate will be responsible for, but not limited to, the following duties:
1. Goods-in-Transit (GIT) Control and Monitoring
- Monitor and manage all GIT codes including 6300, 2500, 2600, 2700, 1300 and 1400.
- Follow up with stores regarding overdue or un-captured GITs and escalate unresolved issues in line with standard operating procedures.
- Perform daily and end-of-shift GIT rollover checks to ensure system accuracy.
- Conduct final GIT reporting and reconcile discrepancies.
2. FarEye System Compliance and Monitoring
- Monitor store capturing of deliveries to ensure full compliance with FarEye requirements.
- Track trucks in real time via FarEye dynamic tracking tools.
- Ensure LM (Last Mile) exceptions are processed accurately.
- Identify stores delivered but not captured and report to the Night Shift Supervisor.
- Load stores on QWIX systems where required.
3. Scanner Allocation and Control
- Manage scanner allocation to ensure devices are charged, linked to truck registration, tracked and returned after use.
- Update scanner control on Microsoft Teams daily.
- Verify scanner functionality and assist with loading stores onto scanners.
- Work closely with scanners and consolidators until all local store work is completed.
4. Store Documentation and Quality Control
- Complete green log sheets for all local store dispatches.
- Verify CAP scanning and documentation accuracy for first deliveries, second trips and cross-dock operations.
- Perform a minimum of five (5) store QC checks per shift, conducted seal-by-seal.
- Maintain strict control of documentation accuracy to minimise audit risks.
5. Cross-Border Dispatch Administration
- Capture and update TradeCloud documentation for Botswana, Lesotho and Eswatini daily.
- Ensure cross-border documentation complies with regulatory and customs requirements.
6. Dispatch Coordination and Operational Support
- Verify that all trucks are correctly added to FarEye routing systems.
- Conduct hourly shunter report checks.
- Assist with dispatch scheduling and deployment coordination.
- Provide support during peak periods and assist across functions where operationally required.
7. Reporting and Communication
- Prepare accurate handovers between day and night shifts.
- Highlight delivery exceptions, delays and system issues to Supervisors and Line Managers.
- Maintain professional communication with DC staff, store personnel, transport providers and internal stakeholders.
Minimum Educational Requirements
- Essential: Matric / Grade 12
- Desirable: Certificate in Logistics, Supply Chain Management or Administration
Minimum Experience
- 1–2 years administrative experience in a warehouse, DC or logistics environment.
- Experience working with dispatch documentation, invoicing, or GIT systems.
- Prior exposure to FarEye, WMS or scanner technology will be advantageous.
Technical Skills and Competencies
- Proficient in Microsoft Excel, Teams and email communication.
- Understanding of GIT processes, dispatch documentation and routing compliance.
- Ability to operate and troubleshoot scanning equipment.
- Knowledge of FMCG distribution processes and last-mile delivery compliance.

Working Hours and Shift Structure
- Day Shift Options:
- 07:00 – 16:30
- 09:00 – 18:00
- 10:00 – 20:00
- Night Shift Options:
- 19:00 – 05:00
- 20:00 – 06:00
Shift assignments will be based on operational requirements.
