Purpose of the Role

The Admin Controller is responsible for managing and controlling all administrative and financial processes within the branch. This includes overseeing cash-related activities, credit management, stock movement, and ensuring compliance with company policies. The role also involves reporting on administrative and payment data, maintaining accurate records, and supervising administrative staff to ensure operational efficiency.


Minimum Requirements

  • Education:
    • Matric (Grade 12).
  • Experience:
    • Previous experience as a clerk or cashier.
  • Knowledge & Skills:
    • Understanding of credit requirements.
    • Exposure to banking or payment processes.
    • Strong organizational and administrative skills.
    • Computer literacy (MS Office).

Key Duties & Responsibilities

1. Financial Administration

  • Reconcile refunds and verify authenticity of documents.
  • Manage cancellations and process customer refunds.
  • Issue correct floats to clerks daily.
  • Process EIR payments for branch expenses (e.g., stationery, cleaning services).
  • Reconcile petty cash and drop safe book.
  • Prepare cash office for drops and manage envelopes.
  • Authorize daily cash pick-ups and oversee cashing-up of clerks.
  • Quality-check cash-and-carry sales documentation.
  • Handle expense change-outs and inter-branch billing.
  • Manage general ledger administration and take corrective action for overspending.

2. Credit & Insurance Management

  • Spot-check HP contracts daily for accuracy.
  • Conduct ITC checks for clerks and authorize deals over R5,000.
  • Handle special clearances for cheques.
  • Reconcile insurance claims and follow up on outstanding claims.
  • Resolve RCO queries (customer address, ID numbers, etc.).
  • Call clients for debtor collections and manage outstanding payments.

3. Reporting & Documentation

  • Report daily banking information to management.
  • Maintain HP contracts and supporting documentation.
  • Reconcile and report on TV licenses.
  • Compile and archive branch documentation across departments.
  • Ensure filing of tax invoices, cash pick-ups, and personnel records is up-to-date and accurate.

4. Staff & Resource Management

  • Update attendance register daily and manage sick leave records.
  • Manage log register (e.g., pin codes for new staff).
  • Verify asset register accuracy and manage remittance register for vehicle registration.
  • Oversee part-timers register and submit weekly to payroll.
  • Manage post-dated and unpaid cheque registers.
  • Conduct weekly spot-checks for fraud prevention.
  • Ensure daily staffing for cleaning and security.
  • Run weekly meetings with admin staff to address issues and corrective actions.
  • Manage induction and training of new admin staff on branch policies and procedures.
  • Monitor staff behavior, cleanliness, and conduct.

5. Stock Control & Operational Support

  • Control all stock movements in and out of the branch.
  • Assist with sectional and monthly stock-takes.
  • Spot-check SKU labels and credit interfaces.
  • Check GRV/GRS reports daily and ensure Branch Manager sign-off.
  • Distribute “available to sell” reports and ensure adequate stock in backup areas.
  • Spot-check repair register and manage PODs for accurate sales assignment.

6. General Duties

  • Open and close the branch daily.
  • Check and action daily emails.
  • Provide switchboard relief and assist clerks with payments when required.

Key Duties & Responsibilities

1. Secretarial Support

  • Manage the Production Manager’s office, including:
    • In-Out tray management.
    • Calendar scheduling.
    • Filing and document organization.
    • Telephone and message handling.
  • Provide administrative support to the management team and factories.

2. Administrative Tasks

  • Maintain administrative controls and perform delegated tasks.
  • Ensure secure filing and storage of documents (both paper and electronic).
  • Support during audits and maintain traceability according to set standards.
  • Manage documentation for Best Time Edits, leave records, and TES timesheets.
  • Address administrative queries promptly and professionally.

3. Expense Administration

  • Assist with monitoring and controlling expenses, including:
    • Fixed and variable costs.
    • PPE and chemical orders.
  • Ensure invoices are processed and sent for payment.
  • Record and enter data accurately for financial transactions.
  • Support annual audit processes.

4. Departmental Support

  • Handle ad-hoc administrative requests.
  • Assist with capturing leave applications for departments.
  • Perform relief duties within the admin team when required.

5. Leadership Responsibilities

  • Act as team leader for the admin team, fostering collaboration and motivation.
  • Ensure team objectives are met through effective coordination and communication.
