The Admin Clerk / Receptionist is responsible for front-office reception management, laboratory sample administration, data capturing, customer service, and clerical support, ensuring that all specimens and related documentation are processed accurately and timeously in accordance with standard operating procedures (SOPs).
Key Purpose of the Role
The primary purpose of this position is to administer the receiving, capturing, tracking, and distribution of laboratory samples, ensuring that correct patient and specimen information is obtained, recorded, and maintained to facilitate efficient laboratory testing and reporting.
In addition, the role ensures a professional, welcoming, and well-managed reception area, delivering excellent customer service while upholding confidentiality, ethical standards, and organisational values within the medical pathology environment.
Minimum Qualifications and Requirements

Educational Requirements

Grade 12 (Matric) or a relevant NQF Level 4 qualification (essential)

Experience

Technical and System Knowledge

Key Duties and Responsibilities
The successful candidate will be responsible for, but not limited to, the following core duties:
Sample Administration and Processing

Administer the sorting, receiving, and distribution of medical samples according to prescribed standard operating procedures

Register and log samples accurately into the laboratory information system, ensuring data integrity and completeness

Prioritise specimens correctly to ensure efficient processing and compliance with turnaround times

Track specimen movement and monitor courier deliveries to ensure samples reach designated laboratories timeously
Laboratory and Hospital Support

Perform hospital rounds to collect submitted samples and distribute laboratory reports in accordance with SOPs

Monitor the progress of sample processing and report generation

Follow up on outstanding reports and manage related queries within defined turnaround times
Reception and Customer Service

Manage the reception area, welcoming patients and visitors professionally and courteously

Provide accurate information, directions, and assistance to patients and healthcare professionals

Handle patient enquiries, administrative queries, and customer complaints with empathy and professionalism

Apply the principles of customer care in the medical pathology environment
Cash Handling and Administration

Receive cash payments from patients and ensure accurate receipting

Ensure banking of monies is completed in line with prescribed financial procedures and internal controls
Data Management and Documentation

Prepare, scan, and upload patient forms onto the laboratory scanning system (e.g. Oculus)

Resolve scanning incompletes in accordance with standard operating procedures

Log incidents, customer complaints, and resolutions on the laboratory information management system

Maintain accurate records and ensure compliance with organisational policies and regulatory standards
Stock Control and Housekeeping

Monitor stock levels of consumables and administrative materials

Order additional stock as required to ensure uninterrupted service delivery

Ensure delivery of stock to doctors’ rooms and relevant service points

Maintain basic housekeeping standards within the working area, including cleaning and preparation of equipment
Compliance and Professional Conduct
