Minimum Requirements
To qualify for this Patient Administration Clerk vacancy, applicants must meet the following criteria:
Essential Requirements
- Grade 12 / Matric certificate or equivalent qualification.
- At least one (1) year functional experience in a hospital environment, particularly in patient administration.
- Excellent communication skills, both verbal and written.
- Strong interpersonal relations, customer service orientation, and professionalism when dealing with patients and staff.
- Ability to handle confidential information responsibly, following legal and departmental guidelines.
- Computer literacy, specifically in Microsoft Office (Word, Excel, Outlook).
- Willingness to work under pressure, adapt to rotating duties, and handle high‑volume patient interactions.
- Candidates will undergo practical computer skills testing.
Added Advantages
- Experience using PAAB, HIS, SAP, or RIS patient administration systems.
- Computer training certificates.
- Ability to communicate in more than two official South African languages.
- Knowledge of relevant prescripts, including:
- PFMA
- Treasury Regulations
- Public Service Act
- UPFS
- National Archives Act
- PAIA
- National Core Standards for Patient Care
Working Conditions
Applicants must be prepared to work shifts, including:
- After hours
- Weekends
- Public holidays
- Night duty
- Fixed or rotational shifts
Successful applicants may undergo medical surveillance as required by the Occupational Health and Safety Act.
Key Duties and Responsibilities
As a Patient Administration Clerk, you will play a crucial role in ensuring seamless patient flow and accurate record‑keeping. Duties include:
1. Patient Registration & System Management
- Register patients using SAP, HIS, and RIS systems.
- Admit, discharge, and transfer patients accurately.
- Follow downtime procedures and enter data once systems are restored.
- Ensure correct patient classification and follow up on outstanding accounts.
2. Data Accuracy & Documentation
- Capture complete and accurate patient information on both electronic and manual forms.
- Request, verify, and file required patient documents during initial and follow‑up visits.
- Book patient appointments and ensure proper scheduling.
3. Records Management
- Safeguard patient records in compliance with the National Archives Act and PAIA.
- Maintain confidentiality at all times.
- Ensure proper handling, storage, and retrieval of patient files.
4. Reporting & Administration
- Compile and submit statistics and reports timeously.
- Order stock and stationery related to patient administration.
- Assist other departments when required.
- Participate in rotation as determined by supervisors.
- Comply with the Performance Management and Development System (PMDS).
