Position Overview
The Receptionist provides comprehensive administrative, front desk, financial support, and switchboard assistance to the branch. This role requires exceptional communication, strong organisational skills, and the ability to handle multiple tasks with professionalism and accuracy.
You will be responsible for managing client interactions, supporting internal departments, handling office supplies, assisting with data capturing, and maintaining efficient communication channels across the branch.
Key Responsibilities
1. Front Desk & Client Interaction
- Welcome, greet, and assist walk‑in clients professionally and courteously.
- Identify client needs and direct them to the correct department.
- Maintain a well-presented reception area and ensure you are professional, polite, and approachable at all times.
- Answer all incoming calls via the switchboard, transferring callers to relevant staff promptly.
- Take accurate messages and ensure they are delivered to staff members timeously.
- Support inter-company communication and uphold Fidelity’s service standards.
2. Administrative Office Support
- Handle internal and external correspondence as needed.
- Assist with general office and internal relations duties.
- Manage office stationery and grocery requisitions, including:
- Coffee, tea, sugar, milk, and consumables
- Office supplies such as paper, pens, cartridges, etc.
- Assist with ad hoc purchasing and procurement tasks:
- Request and obtain supplier quotations
- Create and submit requisitions
- Secure approvals for purchase orders
- Place orders and confirm goods received
- Match supplier invoices with POs and submit to branch supervisor
- Support the new supplier/vendor onboarding process.
3. Data Capturing Support
- Assist various departments with accurate and timely capturing of job cards and invoices.
- Maintain strict accuracy and completeness of data entry to support branch operations.
4. Finance Support
- Perform daily banking duties as required.
- Post banking details and documentation to the designated Q‑Drive.
- Ensure accurate financial administration in line with company procedures.
5. Sales Support
- Receive sales leads from phone calls and walk‑in clients.
- Log and forward leads to the Sales Admin team or relevant Sales Consultants.
- Ensure seamless flow of lead information for follow‑up.
6. General Duties
- Perform ad hoc duties and responsibilities as directed by management.
- Support branch operations with flexibility and a proactive approach.
Required Skills, Knowledge & Competencies
Technical Competencies
- Strong proficiency in Microsoft Word and Excel
- Previous experience with LSN (advantageous)
- Excellent computer literacy
- Ability to handle switchboard operations professionally
- Ability to capture data accurately and work with internal systems
