Position Overview

We are seeking a dedicated and highly organized Administrative Clerk to join the Sasol team in Secunda. This role provides essential administrative support to an allocated team, ensuring efficient day‑to‑day operations and seamless workflow management. The Administrative Clerk will handle a wide variety of administrative tasks that support organizational efficiency, productivity, and operational excellence.

You will serve as a key point of contact for team members, visitors, clients, and stakeholders, while managing documentation, scheduling, data capturing, and other administrative tasks critical to departmental success.


Key Responsibilities

1. Administrative and Office Support

  • Handle general inquiries, provide information, and offer administrative assistance to internal and external stakeholders.
  • Schedule appointments, support office operations, and assist with daily administrative tasks.
  • Maintain a professional and organized office environment at all times.

2. Meeting Coordination & Minute Taking

  • Schedule meetings, arrange logistics, and ensure all necessary materials are prepared.
  • Attend meetings when required and take accurate, detailed minutes.
  • Maintain an organized record of meeting notes, decisions, and required actions.

3. Facility & Resource Management

  • Book meeting rooms, conference venues, and collaboration spaces for team activities.
  • Ensure rooms are prepared with the appropriate equipment, materials, and supplies.

4. Calendar Management

  • Coordinate and maintain team schedules, deadlines, and event calendars.
  • Prevent scheduling conflicts and ensure timely, efficient planning.

5. Travel & Logistics Coordination

  • Arrange travel accommodations for team members including flights, transport, and lodging.
  • Prepare detailed itineraries and confirm all travel requirements.

6. Event & Function Planning

  • Organize internal and external events, including conferences, workshops, meetings, and functions.
  • Ensure all event logistics (venues, catering, equipment, materials) are organized and executed flawlessly.

7. Office Supplies & Resource Procurement

  • Manage office stationery, equipment, and consumables, ensuring availability at all times.
  • Monitor stock levels and process orders when necessary.

8. Document Preparation & Management

  • Draft, type, and distribute letters, reports, memos, and presentations.
  • Ensure all documentation is accurate, well-formatted, and professionally prepared.

9. Filing & Record Keeping

  • Maintain both physical and electronic filing systems.
  • Ensure confidential documents are handled according to company policies.

10. Communication & Client Interaction

  • Answer telephone calls, handle inquiries, take messages, and forward calls to the correct individuals.
  • Welcome and assist visitors, directing them appropriately.

11. Data Capturing & Reporting

  • Capture, reconcile, and manipulate administrative and operational data for management reports.
  • Ensure all data is entered accurately, timeously, and in compliance with Sasol standards.

12. Mail & Document Handling

  • Process incoming and outgoing mail.
  • Retrieve and deliver files, print materials, and photocopy documents as needed.

13. Financial Administration Support

  • Monitor department expenditures and maintain accurate financial records.
  • Assist with invoice processing, budget tracking, and general financial documentation.

14. Compliance & Service Delivery

  • Adhere to service level agreements (SLAs) and internal policies.
  • Maintain professional standards and ensure compliance with Sasol’s administrative procedures.

Qualifications & Experience

Minimum Requirements

  • National Senior Certificate (Grade 12) or N3 qualification
  • At least 1 year of relevant administrative experience

Skills & Competencies Required

Technical Skills

  • Strong proficiency in Microsoft Office Suite: Word, Excel, PowerPoint
  • Ability to capture data accurately and generate reports
  • Document preparation and file management expertise
